Job Requirements

- minimum of 2 years experience in event coordination, hospitality, senior living, or customer-focused roles
- must have a valid driver’s license

- associate’s or bachelor’s degree in hospitality, event management, communications, or related field preferred
- experience handling sensitive or memorial events
Job Duties
- Plan and coordinate memorial services, celebrations of life, and remembrance events with compassion and discretion
- organize milestone celebrations such as 90th/100th birthdays, anniversaries, and family-hosted events
- customize event details to honor resident preferences, cultural traditions, and family wishes
- develop detailed event timelines, setup plans, and service flow
- serve as the primary point of contact for residents and families regarding special events
- conduct planning meetings to understand expectations, tone, and special requests
- provide guidance and support families during sensitive events with empathy and professionalism
- coordinate with clergy, celebrants, musicians, florists, caterers, entertainers, photographers, and other service providers
- confirm contracts, schedules, and on-site logistics
- ensure vendors comply with community policies and standards
- work closely with Life Enrichment Coordinator to align special events with community calendar
- coordinate with Dining Services for refreshments, catering, and service style
- partner with Housekeeping and Maintenance for room setup, décor, and post-event cleaning
- collaborate with Concierge, Valet, and Transportation Teams for guest flow and accessibility
- oversee event setup, execution, and breakdown
- manage guest arrival, seating, and flow
- troubleshoot issues in real time to ensure seamless experience
- maintain respectful, calming presence during emotionally sensitive events
- assist with event announcements, memorial notices, and private invitations
- ensure accurate communication with staff regarding event logistics and expectations
- maintain event records, vendor lists, and post-event notes
- set up and breakdown community events including catering, activity events, and holiday events
- assist in other areas as requested by Director
- communicate with medical staff, nursing personnel, and other department supervisors
- decorate common areas for special events and holidays
- conduct individual and group interactions
- meet and greet visitors, including residents’ families, prospective residents, referral sources, vendors, and regulators
- answer phones according to community standards
- professionally cooperate with supervisors and community personnel
- monitor and evaluate customer satisfaction and help develop action plans to improve it
- perform duties assigned by Executive Director or Director of Activities
