Job Requirements

  • Bachelor's degree preferred
  • or equivalent experience 1-3 years in event coordination or hospitality
  • proficiency with Microsoft Office including Outlook, Excel, Word, PowerPoint
  • customer service experience
  • ability to work nights, weekends, and holidays
  • strong communication and organizational skills
  • ability to multitask and work independently
  • conflict resolution skills
  • willingness to work irregular hours
  • capable of handling stress and making decisions under pressure

Job Qualifications

  • Bachelor's degree from an accredited college or university in hospitality, business, or related field preferred
  • or equivalent combination of education, training, and experience
  • 1-3 years of progressively responsible experience in event coordination or hospitality operations preferred
  • convention center experience preferred
  • experience in facility coordination desirable
  • proficiency in PC Windows-based Microsoft Office applications including Outlook, Excel, Word, and PowerPoint
  • customer service experience required
  • superior communication and organizational skills
  • highly motivated and able to work in fast-paced environments
  • ability to work nights, weekends, and holidays
  • knowledge of industry terminology and event coordination services
  • strong multitasking and supervisory skills
  • conflict resolution and decision-making skills
  • ability to operate modern office equipment
  • computer proficiency including Microsoft Office and event creation software
  • experience with Ungerboeck Momentus and AutoCad a plus

Job Duties

  • Planning, organizing, and controlling events within the venue as assigned
  • guide clients in preparation of events by interpreting and explaining contract provisions, policies, and procedures
  • keep clients informed as to status of deadline schedules including floor plan submissions and meeting room specifications
  • create, distribute, and update working documents for events such as floorplans, staffing, work orders, and cost estimates
  • conduct client consultations to understand event objectives, requirements, and timelines
  • coordinate outside service needs with vendors including food and beverage, decorators, and others
  • ensure all FF&E requirements are met by communicating detailed needs to operational departments
  • lead and coordinate pre-convention meetings with clients
  • oversee event setup, execution, and breakdown on event days
  • attend assigned events to resolve client and patron issues
  • coordinate with departments to ensure proper event readiness and post-event activities
  • maintain professional public relations with clients, patrons, and staff
  • prepare cost estimates, monitor final billing, and settle event costs with clients
  • manage administrative duties including digital reader boards and post-event surveys
  • establish working relationships with security, fire, and safety personnel
  • handle complaints and incidents including reporting and follow-up
  • work extended hours including nights, weekends, and holidays as required
  • serve as manager on duty as needed
  • perform related duties as assigned
