Job Qualifications
- bachelor's degree in communications, event planning, hospitality or related field
- experience in event coordination or similar role
- proficiency with Microsoft Office suite including Excel, Word, PowerPoint, Outlook
- strong interpersonal and communication skills
- ability to manage multiple events simultaneously
- experience with reservation software such as EMS
- knowledge of audiovisual and IT event requirements
- ability to work independently and in a team environment
- flexibility to work non-standard hours
- problem-solving and contingency planning skills
Job Duties
- act as the primary liaison between internal teams and event hosts
- collaborate with event hosts to recommend the best spaces and configurations
- develop comprehensive run-of-show documents
- oversee event setup, execution, and breakdown
- coordinate travel arrangements and accommodations for event hosts and VIP attendees
- manage scheduling and booking for event spaces
- provide guidance on audiovisual and IT requirements
- work closely with executive-level and C-suite employees
- communicate regularly with event hosts
- anticipate potential challenges and develop contingency plans
- respond to last-minute changes or requests
- manage vendor relationships and contracts
- ensure compliance with company policies and safety regulations
- maintain detailed records of event expenses and budgets
- assist in post-event evaluations
- input and maintain all reservation data
- create buffet signage and printed menus
- handle all phone and online event inquiries
- prepare event proposals and staff requisitions
- receive and process deposits
- prepare final event invoicing and expense reports
