Job Requirements
- Bachelor’s degree in event management, hospitality, communications, or related field preferred
- Minimum of 2 years of experience in event coordination or planning
- Strong organizational skills and attention to detail
- Excellent communication skills both verbal and written
- Ability to handle multiple projects simultaneously
- Proficiency with Microsoft Office and event management software
- Flexibility to work evenings and weekends
- Physical ability to lift up to 50 pounds
- Experience working with executive-level stakeholders
- Knowledge of audiovisual and technical event requirements
- Ability to work independently and as part of a team
- Strong problem-solving skills and adaptability
- Valid legal authorization to work in the country

- Proven experience in event planning or coordination preferably in a corporate setting
- Strong organizational and time-management skills
- Excellent communication and interpersonal skills including interaction with executives
- Proficiency in event management software is a plus

- Highly proficient with Microsoft Office suite including Excel, Word, PowerPoint, Outlook
- Experience working in technical and audiovisual environments

- Able to work flexible schedules including evenings and weekends

- Experience with reservation software platforms such as EMS

Job Duties
- Act as the primary liaison between internal teams to ensure all event needs are met
- Collaborate with event hosts to recommend the best spaces and configurations
- Develop comprehensive run-of-show documents detailing timelines and responsibilities
- Oversee event setup, execution, and breakdown ensuring alignment with expectations
- Coordinate travel arrangements and accommodations for event hosts and VIP attendees
- Manage scheduling and booking for event spaces allocating appropriate resources
- Provide guidance on audiovisual and IT requirements ensuring technical needs are addressed
- Work closely with executive-level and C-suite employees to meet their expectations professionally
- Communicate regularly with event hosts for updates and feedback
- Anticipate challenges and develop contingency plans for smooth event operations
- Respond promptly to last-minute changes or requests
- Manage vendor relationships and contracts
- Ensure compliance with company policies and safety regulations
- Maintain detailed records of event expenses and budgets
- Assist in post-event evaluations for continuous improvement
- Input and maintain reservation data for various event types
- Create buffet signage and printed menus as required
- Organize and upkeep event files including correspondence, orders, and invoices
- Handle all phone and online event inquiries with pertinent information
- Prepare event proposals and submit staff requisitions
- Receive and process all deposits
- Prepare final event invoicing and expense reports monthly
