Job Duties
- Act as the primary liaison between internal teams to ensure all event needs are met
- Collaborate with event hosts to recommend the best spaces and configurations
- Develop comprehensive run-of-show documents including timelines and responsibilities
- Oversee event setup, execution, and breakdown
- Coordinate travel arrangements and accommodations for event hosts and VIPs
- Manage scheduling and booking of event spaces
- Provide guidance on audiovisual and IT requirements
- Work closely with executive-level and C-suite employees to ensure expectations are met
- Communicate regularly with event hosts to provide updates and gather feedback
- Anticipate challenges and develop contingency plans
- Respond to last-minute changes with efficiency
- Manage vendor relationships and contracts
- Ensure compliance with company policies and safety regulations
- Maintain detailed records of event expenses and budgets
- Assist in post-event evaluations to identify improvements
- Input and maintain reservation data
- Create buffet signage and printed menus
- Maintain organized event files including correspondence and invoices
- Handle all event inquiries
- Prepare proposals and submit staff requisitions
- Receive and process deposits
- Prepare final event invoicing and expense reports
