Job Requirements

  • Bachelor's degree in Event Management, Hospitality, Marketing, or related field preferred
  • 2+ years of experience in event coordination, hospitality, or related field
  • experience managing budgets and vendor contracts
  • excellent organizational skills
  • strong verbal and written communication abilities
  • proficiency with event management software and Microsoft Office Suite and/or Google Workspace
  • ability to stand for extended periods and lift up to 50 lbs
  • availability to work evenings, weekends, and holidays as required by event schedules

Job Qualifications

  • Bachelor's degree in Event Management, Hospitality, Marketing, or related field preferred
  • 2+ years of experience in event coordination, hospitality, or related field
  • experience managing budgets and vendor contracts
  • excellent organizational, time-management, and multitasking skills
  • strong verbal and written communication abilities
  • proficiency with event management software, Microsoft Office Suite, and/or Google Workspace
  • ability to work under pressure and adapt to changing priorities
  • knowledge of event safety procedures, permitting, and ADA compliance preferred

Job Duties

  • Assist in developing event concepts, schedules, budgets, and timelines
  • coordinate all event logistics including venue setup, equipment, permits, staffing, and vendor management
  • ensure all legal, safety, and accessibility requirements are met for each event
  • source, negotiate, and manage contracts with vendors and service providers such as catering, audio-visual, security, and decor
  • serve as the liaison between vendors, clients, and internal departments before, during, and after events
  • maintain positive relationships with community partners, sponsors, and stakeholders
  • supervise event setup, live operations, and tear-down
  • troubleshoot and resolve any issues that arise during events
  • direct and manage event staff, volunteers, and contractors to ensure timelines and quality standards are met
  • track and reconcile event budgets and expenses
  • maintain event records, contracts, and post-event reports
  • prepare post-event evaluations and recommend improvements for future events
  • collaborate with marketing teams to promote events through print, digital, and social media channels
  • assist in preparing event materials such as programs, signage, and promotional items
