Job Requirements

  • Education relevant to event planning or hospitality preferred
  • Proven experience in event planning or coordination
  • Excellent organizational skills and attention to detail
  • Strong communication and interpersonal skills
  • Ability to work flexible hours including evenings and weekends
  • Physical ability to lift 50 pounds
  • Proficiency with Microsoft Office
  • Experience with event management software is desirable
  • Ability to remain mobile during work activities
  • Must be able to perform the essential functions of the role with or without reasonable accommodation

Job Qualifications

  • Proven experience in event planning or coordination preferably in a corporate setting
  • Strong organizational and time-management skills with the ability to handle multiple events simultaneously
  • Excellent communication and interpersonal skills with the ability to interact effectively with all levels including executives
  • Proficiency in event management software and tools is a plus
  • Flexibility to work non-standard hours including evenings and weekends
  • Outstanding customer service skills
  • Superior verbal and written communication skills
  • Highly proficient with Microsoft Office suite including Excel, Word, PowerPoint, and Outlook
  • Experience working in a technical or audiovisual environment
  • Ability to work independently, prioritize effectively, and make decisions in ambiguous situations
  • Ability to adapt quickly to change and maintain flexibility
  • Experience with reservation software platforms such as EMS
  • Background in communications, event planning, or hospitality

Job Duties

  • Act as the primary liaison between internal teams such as catering, audiovisual, IT, and facilities to ensure all event needs are met
  • Collaborate with event hosts to recommend the best spaces and configurations to meet their needs
  • Develop comprehensive run-of-show documents detailing step-by-step timelines and responsibilities for all event aspects
  • Oversee event setup, execution, and breakdown to ensure alignment with expectations
  • Coordinate travel arrangements and accommodations for event hosts and VIP attendees as needed
  • Manage scheduling and booking for event spaces ensuring appropriate resource allocation
  • Provide guidance on audiovisual and IT requirements to address technical needs in advance
  • Work closely with executive-level and C-suite employees to ensure their expectations are met with professionalism
  • Communicate regularly with event hosts to provide updates and gather feedback
  • Anticipate potential challenges and develop contingency plans to ensure smooth events
  • Respond efficiently to last-minute changes or requests
  • Report to the Conference Services Manager and assist with additional tasks and projects
  • Manage vendor relationships and contracts
  • Ensure compliance with company policies and safety regulations
  • Maintain detailed records of event expenses and budgets
  • Assist in post-event evaluations
  • Input and maintain reservation data including inquiries and event specifics
  • Create buffet signage and printed menus
  • Perform upkeep of organized event files including correspondence and invoices
  • Handle all phone and online event inquiries with pertinent details
  • Prepare proposals for events and submit staff requisitions
  • Receive and process deposits
  • Prepare final event invoicing and expense reports monthly
