Job Requirements

  • Bachelor’s degree or equivalent experience in a related field preferred
  • Minimum of 2 years experience in event coordination or planning
  • Experience working with executive and C-suite level clients
  • Strong multitasking and organizational skills
  • Ability to communicate clearly and professionally with diverse stakeholders
  • Flexibility to accommodate varying event schedules including evenings and weekends
  • Physical ability to remain mobile and lift up to 50 pounds
  • Proficiency with event software systems like EMS
  • Ability to work independently and as part of a team
  • Willingness to comply with company policies and safety regulations
  • Legal authorization to work in the United States

  • Proven experience in event planning or coordination preferably in a corporate setting
  • Strong organizational and time-management skills
  • Excellent communication and interpersonal skills
  • Proficiency in event management software is a plus

Job Duties

  • Act as the primary liaison between internal teams such as catering, audiovisual, IT, and facilities to ensure all event needs are met
  • Collaborate with event hosts to recommend the best spaces and configurations to meet their needs
  • Develop comprehensive run-of-show documents detailing step-by-step timelines and responsibilities
  • Oversee event setup, execution, and breakdown ensuring alignment with expectations
  • Coordinate travel arrangements and accommodations for event hosts and VIP attendees
  • Manage scheduling and booking for event spaces with appropriate resource allocation
  • Communicate regularly with event hosts to provide updates and gather feedback
  • Anticipate potential challenges and develop contingency plans
  • Respond to last-minute changes or requests efficiently
  • Manage vendor relationships and contracts
  • Ensure compliance with company policies and safety regulations
  • Maintain detailed records of event expenses and budgets
  • Assist in post-event evaluations to identify improvement areas
  • Input and maintain reservation data including inquiries, bookings, and function sheet specifics
  • Prepare proposals, staff requisitions, deposit processing, and final invoicing
  • Create buffet signage and printed menus as required
  • Handle phone and online event inquiries including event details
  • Assemble and upkeep organized event files
