Job Requirements

  • 3+ years of professional experience in event planning or hospitality industry
  • Experience with event management platforms such as EventsAir preferred
  • Strong organizational skills with ability to manage multiple projects and meet deadlines
  • Excellent communication and collaboration skills
  • Proficiency in Microsoft Office and event management software
  • Must be willing to work some evenings and occasional weekends
  • Some travel required including minimal overnight travel
  • Ability to maintain calm professional demeanor in high-paced and high-volume work environment
  • Strong organizational skills with ability to prioritize follow through and meet deadlines with a strong sense of urgency
  • Excellent computer skills including Word Excel PowerPoint Teams and SharePoint

  • Bachelor's degree in Event Management Hospitality Marketing or related field preferred
  • Experience with event budgeting and financial tracking
  • Experience supporting large-scale or executive-level events

Job Duties

  • Support event managers by overseeing project coordination including event logistics calendar management task tracking deadlines and deliverables within event management software
  • Assist with event set-up and tear-down ensuring smooth transitions before during and after events
  • Act as liaison between vendors and internal teams to meet event requirements including audio/visual setups venue arrangements and guest accommodations
  • Prepare event materials including signage name badges agendas and presentations aligned with brand standards
  • Offer on-site event support including guest welcoming check-in procedures and attendee concern resolution
  • Oversee member entertainment opportunities in corporate suites coordinate with stakeholders organize promotional items and manage catering logistics
  • Partner with marketing to infuse brand messaging into event touchpoints ensuring consistent representation
  • Keep stakeholders informed of event progress and status fostering clear communication and team alignment
  • Conduct post-event evaluations collects feedback from attendees vendors and stakeholders to identify improvements and document best practices
  • Compile event recaps and analytics to measure success and guide future planning
  • Manage the EventsAir Platform for registration communications attendee management volunteer management and reporting
  • Coordinate event invitation mailings including mail merge proofing printing and mailing
  • Complete application process for permits and licenses for events
  • Maintain linens arrange cleaning inspect for damage
  • Work with Facility Attendant to inventory and order event supplies
  • Maintain order and inventory in event storage areas
  • Maintain corporate event calendar and distribute monthly
  • Responsible for weekly distribution of Corporate Event Status report
  • Adhere to federal laws including Anti-Money Laundering AML and Bank Secrecy Act BSA
  • Assist with event budget tracking and documentation
  • Process invoices track expenses ensure purchases within authorized limits
  • Support reporting on event financials and costs savings
  • Coordinate with vendors for event services scheduling logistics invoicing
  • Support contract review and record keeping for vendors
  • Work closely with Senior Event Manager and team to align event deliverables with business goals and timelines
  • Provide guidance and support to temporary staff or volunteers during events
  • Assist with post-event feedback collection reporting and analysis
  • Track key performance metrics like event setup efficiency and attendee satisfaction
  • Contribute ideas for process improvements and service enhancements
  • Take ownership of assigned events and projects as directed by Senior Event Manager
  • Provide support for executive presentations and corporate management events
