Job Requirements
- Bachelor's degree from an accredited four-year college or university in hospitality, business, or related field preferred
- One year professional experience in event coordination management or venue operations
- Customer service experience required
- Must possess a valid driver's license
- Ability to operate modern office equipment including computer, fax, phone and copy machine
- Ability to handle multiple tasks simultaneously
- Ability to work extended and irregular hours including nights, weekends and holidays
- Must maintain a professional image
- Ability to communicate effectively in oral and written form
- Ability to organize and prioritize work to meet deadlines
- Must work effectively under pressure and stringent schedules
- Must be able to work in a fast-paced environment
- Must be a team player and work independently with minimal supervision
Job Qualifications
- Bachelor's degree from an accredited four-year college or university in hospitality, business, or related field preferred
- One year professional experience in event coordination management or venue operations
- Customer service experience required
- Ability to learn and demonstrate industry terminology, facility capabilities, operational procedures, event coordination and related services
- Demonstrated principles of supervision, training, budgeting and administrative duties
- Strong communication skills in oral and written form
- Ability to work independently and exercise good judgment
- Valid driver's license
- Proficiency in Microsoft Office and ability to learn event creation software
Job Duties
- Work closely with event management team to deliver venue services to tradeshow, convention and expo clients
- Manage administrative duties for Event Services and Facility Sales team including processing invoices, ordering event materials and coordinating needs with internal departments
- Ensure successful event coordination by monitoring events and maintaining close contact with clients and staff
- Meet with client groups to plan and organize meetings and/or events
- Guide clients in preparation of events by interpreting and explaining contract provisions, policies and procedures
- Keep clients informed of deadline schedules including floor plan submissions, meeting room set-up specifications, insurance requirements and other relevant details
- Prepare cost estimates, monitor final billing and settle event costs with clients promptly
- Collect and settle invoices in a timely manner
- Communicate event requirements to operational departments clearly and in a timely manner
- Maintain event reports, information and files
- Attend planning, organization and other event and facility meetings supporting facility operations
- Maintain a positive public relations image with patrons and staff
- Schedule event staff for daily operations and special events, adjusting work schedules for cost efficiency
- Establish and maintain effective working relationships with police, fire, EMTs and other security personnel or safety organizations
- Handle complaints, disturbances or related problems with the public, staff or clients and promoters
- Investigate, report and follow-up on incidents including damage or injury to the facility or individuals
- Work extended and/or irregular hours including nights, weekends and holidays
- Serve as manager on duty as required
- Perform related duties as assigned
