Job Requirements

  • Bachelor's degree or equivalent experience
  • minimum of three years' experience in event coordination or related administrative roles
  • proficiency in Microsoft Windows, Office, Teams, and SharePoint
  • excellent organizational and communication skills
  • ability to work flexible hours including mornings, evenings, and weekends
  • strong customer service orientation
  • ability to manage multiple tasks and meet deadlines
  • willingness to travel occasionally
  • proactive and resourceful approach to work

Job Qualifications

  • Bachelor's degree or at least three years' experience in event coordination or related administrative role
  • ability to work in a fast-paced, professional environment
  • outstanding customer service skills
  • excellent attention to detail and accuracy

Job Duties

  • Commit to a flexible work schedule including mornings, evenings, and some weekends
  • assist Marketing Manager and team with event planning and implementation
  • coordinate event details such as tables, furniture, flooring, signage, and lighting
  • arrange and confirm dinner and hotel reservations
  • collaborate with creative team to fulfill marketing deliverables like signs, ads, and invites
  • coordinate with multiple office locations on event needs and scheduling
  • organize event details and communicate with team members throughout the process
  • maintain excellent working relationships with outside partners and vendors
  • co-manage and organize master calendars for all events
  • communicate event logistics to team members and attendees
  • assist with new event opportunities and sponsorships
  • send post-conference notes and communications
  • coordinate and assist with sponsorship contracts and payments
  • assist scheduling and planning for golf tournaments and client activities
  • ensure adherence to WRA brand guidelines by vendors and clients
  • perform administrative duties supporting the marketing department
  • coordinate final event details with clients
  • perform other duties as assigned by Marketing Managers and Directors of Marketing
  • travel as needed, occasionally overnight and for multiple days
