Job Requirements

  • Bachelor's degree from an accredited four-year college or university in hospitality, business, or related field preferred or equivalent combination of education, training, and experience
  • one year professional experience in event coordination management and/or venue operations
  • customer service experience required
  • ability to work in an office environment
  • strong computer skills in MS Office
  • ability to operate standard office equipment
  • ability to handle multiple tasks simultaneously
  • excellent organizational abilities
  • ability to work extended and irregular hours including nights, weekends, and holidays
  • valid driver's license
  • effective interpersonal and communication skills
  • ability to handle stressful situations and exercise judgment
  • ability to work independently with minimal supervision

Job Qualifications

  • Bachelor's degree in hospitality, business, or related field preferred
  • one year professional experience in event coordination, management, or venue operations
  • experience in convention center settings preferred
  • customer service experience required
  • ability to learn industry terminology, facility capabilities, and operational procedures
  • strong multitasking and organizational skills
  • supervisory and training techniques knowledge
  • excellent communication skills in both oral and written forms
  • professional image maintenance
  • ability to operate Microsoft Office and event creation software
  • valid driver's license

Job Duties

  • Work closely with event management team to deliver venue services to trade show, convention and expo clients
  • manage administrative duties for event services and facility sales team, including processing invoices, ordering event materials and coordinating with internal departments
  • plan and coordinate entry level and internal events while monitoring events and maintaining close contact with clients and staff
  • meet with client groups to plan and organize assigned meetings and/or events
  • guide clients in event preparation by interpreting and explaining contract provisions, policies, and procedures
  • keep clients informed about deadline schedules, including floor plans, meeting room setups, insurance, and other details
  • prepare cost estimates, monitor final billing, and settle event costs timely
  • collect and settle invoices promptly
  • communicate detailed requirements clearly and timely to operational departments
  • maintain event related reports, information, and files
  • attend planning, organization, and facility meetings supporting operations
  • maintain positive public relations with patrons and staff
  • schedule event staff for daily operations and special events, adjusting schedules for cost efficiency
  • establish and maintain effective working relationships with police, fire, EMTs, and security personnel
  • handle complaints and disturbances involving the public, staff, or clients
  • investigate and report incidents including facility or personal damage/injury
  • work extended and irregular hours including nights, weekends and holidays
  • serve as manager on duty as required
  • perform related duties as assigned
