Job Requirements

  • High school diploma
  • Preferred bachelor’s degree in hospitality, business administration, communications, or related field
  • Minimum 2 years experience in event operations, venue or conference services, hospitality, or facilities coordination
  • Experience using scheduling systems and calendaring tools
  • Experience coordinating audiovisual support and vendor services
  • Ability to manage multiple tasks and events concurrently
  • Strong organizational and communication skills
  • Ability to work flexible hours including early mornings, evenings, and weekends
  • Ability to stand for extended periods

Job Qualifications

  • High school diploma required
  • Bachelor’s degree preferred in hospitality, events management, business administration, communications, or related discipline
  • Minimum of 2 years experience in event operations, venue or conference services, hospitality, or facilities coordination within a complex organization preferred
  • Experience with scheduling systems, audiovisual coordination, vendor management, and onsite event execution
  • Knowledge of event and venue operations including room setup standards, run-of-show execution, and post-event reconciliation
  • Proficiency with space scheduling and calendaring tools and collaboration platforms
  • Ability to read floor plans and produce basic room diagrams
  • Working knowledge of audiovisual fundamentals such as microphones, projectors, and conferencing platforms
  • Strong organizational and time management skills
  • Ability to manage multiple events, timelines, and stakeholders simultaneously
  • Meticulous attention to detail and follow-through
  • Effective written and verbal communication skills
  • Ability to produce clear event orders, vendor instructions, and client updates
  • Professional customer service orientation
  • Ability to build positive working relationships and collaborate with internal departments and external vendors

Job Duties

  • Coordinate end-to-end event logistics including room setups, audiovisual support, catering, registration, and accessibility
  • Maintain detailed event orders, floorplans, and timelines
  • Provide onsite support for event setup, live operations, and breakdown
  • Manage room reservations and space assignments in the enterprise scheduling system
  • Balance space priorities across clinical, research, administrative, and external users
  • Issue confirmations and usage policies
  • Resolve scheduling conflicts and last-minute changes
  • Manage audiovisual support inquiries and triage technical issues
  • Maintain conference room standard operating procedures, usage guidelines, and equipment checklists
  • Ensure conference rooms are clean, stocked, and properly set according to standards
  • Track and coordinate preventive maintenance and repairs with Facilities and AV teams
  • Serve as liaison for first-line audiovisual support including projectors, microphones, and virtual meeting platforms
  • Coordinate with AV technicians for complex setups
  • Test equipment and connections prior to events
  • Escalate and document audiovisual issues and resolutions
  • Support other audiovisual and conference services requests as directed
