Job Requirements

  • Bachelor's degree in event management, hospitality, marketing, public relations, communication, business management, or related field
  • minimum three years of experience in event planning
  • preferably in higher education or non-profit setting
  • equivalent combination of education, training, and experience is acceptable
  • strong organizational and project management skills
  • experience with fundraising events, donor relations, and donor stewardship best practices
  • knowledge of Raiser’s Edge or similar fundraising software preferred
  • excellent communication and interpersonal skills
  • proficiency in Microsoft Office Suite including Excel
  • familiarity with event-related technology including AV systems and online registration platforms
  • knowledge of marketing and design software and online communication tools
  • strong problem-solving abilities
  • attention to detail in event logistics, budgeting, and stewardship processes
  • knowledge of higher education environments and community engagement practices preferred
  • ability to work independently and as part of a team
  • flexibility to work evenings and weekends
  • understanding of event technology, registration platforms, and audiovisual equipment
  • occasional travel may be necessary for off-site events

Job Duties

  • Plan, organize, and execute a range of events including fundraising outings, luncheons, and appreciation events
  • develop event concepts, themes, and objectives with stakeholders
  • coordinate event logistics such as venue, catering, transportation, and audiovisual needs
  • manage event budgets to ensure cost-effective solutions
  • serve as primary contact for event inquiries and liaise with internal and external partners
  • build and maintain relationships with vendors, sponsors, and community partners
  • develop and implement donor recognition strategies including donor walls and societies
  • collaborate with development team to support donor retention and cultivation
  • maintain accurate donor database and track all interactions and donations
  • analyze donor trends and prepare fundraising progress reports
  • support communication strategies to increase donor awareness
  • collaborate with marketing to create event promotional materials
  • utilize social media and email campaigns to promote events
  • track and analyze event attendance and feedback
  • maintain detailed records of event planning and budgets
  • prepare reports and presentations for stakeholders
  • support daily operations and respond to inquiries
  • perform additional duties as assigned
