Job Requirements

  • High school diploma or equivalent
  • Proven experience in event coordination or hospitality sales
  • Strong organizational and multitasking skills
  • Excellent communication and interpersonal abilities
  • Proficiency with sales and catering management systems
  • Basic graphic design and social media skills
  • Ability to work flexible hours including evenings and weekends
  • Valid driver’s license and reliable transportation
  • Ability to handle physical aspects of event setup and teardown
  • Attention to detail and problem-solving skills

Job Qualifications

  • Associate degree or higher in hospitality, marketing, or related field preferred
  • Previous experience in hospitality sales, event planning, or marketing
  • Knowledge of local event market and vendor relationships
  • Strong customer service and sales negotiation skills
  • Proficiency with graphic design software such as Adobe Creative Suite preferred
  • Experience managing social media accounts and marketing campaigns
  • Ability to work independently and as part of a team
  • Familiarity with safety and sanitation standards in hospitality industry

Job Duties

  • Effectively contract events including weddings, rehearsal dinners, social events, school events, corporate events, holiday parties, fundraisers, bridal showers, baby showers, and birthdays
  • Actively solicit business including prospecting, cold calling, and sales calls
  • Conduct property tours for prospective clients and generate contracts and invoices
  • Maintain effective, organized, and timely follow-up on leads, proposals, and contracts
  • Develop and implement sales strategies, plans, and projects to increase revenue
  • Maintain complete and accurate records of accounts, bookings, client requests, and specifications
  • Oversee planning and coordination of booked business and distribute client BEOs
  • Attend local and regional wedding and event shows to generate potential sales
  • Work closely with all relevant departments in event planning and provide specific details on precontracting, estimates, ceremony, reception, and vendors
  • Expand and develop sales platforms
  • Create, design, and develop engaging graphic designs for print and electronic collateral, menus, website, and social media content in alignment with brand
  • Take photos and videos for marketing content
  • Assist with development and implementation of marketing plans and projects
  • Help update and maintain company social media pages
  • Assist with maintaining and improving brand identity and communication assets
  • Monitor, review, and report on all marketing and sales activities and results
  • Maintain high standards for safety and cleanliness in all property areas
  • Communicate guest needs, problems, and concerns to Director of Hospitality
  • Complete assigned projects on time with clear communication
  • Oversee client communication to appropriate departments during event execution
  • Manage event production details including timelines, BEOs, and layouts
  • Manage each event from initial sale through completion
  • Ensure banquet teams are trained and event runs smoothly
  • Coordinate with Luxe Design, photographer, videographer, DJ, officiant, entertainment acts, and vendors to review details
  • Work with clients to meet all requests and ensure memorable experiences
  • Coordinate and attend culinary tastings, walkthroughs, and rehearsals
  • Ensure banquet staff are adequately prepared and assign tasks
  • Assist with event setup and teardown
  • Coordinate event rehearsals including usher instruction and wedding party processional and recessional
  • Ensure safety and cleanliness standards
  • Deliver dining experience services during events
  • Perform other duties as assigned by management
