Job Description

The City Event Center is a vital public facility dedicated to hosting a variety of community-based and city-sponsored events that enrich the social and cultural fabric of the city. As a central hub for gatherings ranging from large-scale community celebrations to smaller organizational meetings, the Event Center works closely with local stakeholders, vendors, and city departments to ensure seamless event management and high-quality service delivery. Job Duties

  • Plan, coordinate, and implement large community events
  • coordinate and organize medium and smaller City events, community meetings, functions, and related activities
  • obtain materials, refreshments and resources and set up rooms and equipment
  • attend events and serve as City coordinator and keep activities flowing subject to timeliness and management needs
  • manage City events and facility uses
  • coordinate outside service needs with catering concessionaires, security, and other service providers
  • issue instructions to technical and maintenance personnel to assure that all necessary equipment and services are scheduled and in order
  • monitor events in progress
  • demonstrate political acumen by representing the City professionally at all times
  • coordinate community education activities related to the City
  • promote and provide tours of City facilities as needed
  • foster public understanding of City goals, policies, programs, and services
  • assist members of the management team regarding issues of concern related to communication of City matters with the public, as requested
  • coordinate, review, edit, monitor and assist with the planning of publications and distribution of City information
  • rewrite and edit copy to improve readability
  • plan, obtain information, edit, and layout advertisements, flyers, brochures, social media and other materials associated with city events and/or the marketing of the Event Center
  • coordinate production and oversee distribution
  • attend regional and/or state conferences and trainings relative to community event organizing and facility management
  • receive requests from the media and forward to appropriate department
  • maintain event records and prepare related reports and correspondence
  • assist with program budget preparation related to City events
  • obtain bids and proposals
  • monitor expenditures
  • reconcile bills
  • build and maintain positive working relationships with co-workers, other City employees and the public using principles of good customer service
  • oversee the work of staff developing event/facility cost estimates, invoices and manages payment of all event services, including facility rentals
  • track and maintain operating costs and revenues related to use of the Event Center and Sylvan Center
  • make recommendations on rental fee schedules and updates
  • greet the public, answer questions, or direct them to appropriate office personnel as necessary
  • oversee the work of staff who ensures vendors meet all insurance requirements, permit/rental agreements are followed, and coordinates appropriate staff to assist with the event/facility use
  • recommend the appointment of personnel
  • provide or coordinate staff training and conduct performance evaluations
  • plan, supervise and coordinate construction, repair, and building maintenance/cleaning of City’s Event Center
  • obtains bids and proposals, consistent with the City’s purchasing policy and public works contracting code
  • develop and maintain an equipment maintenance, depreciation and replacement schedule
  • monitor changes in laws, regulations and technology that may affect maintenance and operations
  • perform related duties as assigned
