Job Requirements

  • Bachelor's degree in communication or a closely related field
  • 2-4 years of experience organizing and coordinating events
  • Experience using graphic design software and digital products for business/educational purposes
  • Knowledge of best practices for creative designs to enhance departmental missions
  • Experience with Zoom, Google, and Microsoft Office suites
  • Experience with website maintenance
  • Experience using social media for community building and event promotion
  • Self-starter able to work with limited direction
  • Extremely high attention to detail
  • Ability to work in a fast-paced and dynamic environment with multiple conflicting priorities
  • Demonstrated ability to work as a member of a team fostering positive relationships and communication
  • High-level oral and written communication skills with experience editing and proofreading copy
  • Ability to communicate effectively with individuals for whom English is not their first language
  • Proven ability and willingness to work with a variety of populations
  • Ability to navigate complex scenarios working for multiple units and supervisors
  • Physical ability to move equipment and set up event spaces including moving items up to 50 pounds

Job Duties

  • Organize and coordinate in-person and virtual event logistics for departmental receptions, seminars, colloquia, and lectures including catering, venues, audio/visual and IT needs, Zoom setup, travel, and honorarium payments
  • Create and send detailed itineraries for guests coming to campus in collaboration with faculty and staff
  • Set up events and break down after events to reset spaces
  • Communicate clearly and consistently with faculty and staff organizers regarding event arrangements and develop communication plans
  • Develop budgets in collaboration with Chief Administrators and track event expenses maintaining budget spreadsheets
  • Ensure pictures are taken at events for historical and promotional purposes
  • Collaborate with staff and faculty to produce content for websites, newsletters, and social media platforms including Instagram, Twitter, and Facebook
  • Develop and support social media strategies to increase engagement
  • Evaluate and update websites to improve content, layout, reach, and accessibility
  • Analyze social media metrics quarterly and recommend new strategies
  • Lead event promotion and marketing efforts and steward donor relationships
  • Design posters, flyers, digital signage, event programs, itineraries, and screen printing graphics in collaboration with event sponsors
  • Layout newsletters and coordinate printing and mailing
  • Ensure quality control of printed materials and coordinate distribution
  • Build relationships with faculty, graduate students, and staff to enhance publicity materials
  • Participate actively in publicity planning
  • Perform other related duties as assigned
