Job Requirements

  • Associate degree or one year of experience in Student Services or related field
  • Excellent written, verbal, and interpersonal communication skills
  • Excellent computer and technical skills
  • Ability to maintain effective audio-visual discrimination and perception for making observations, reading and writing, communicating with others, and operating equipment
  • Physical ability to stand or sit for extended periods, handle multiple tasks, bend, stoop, climb, or lift up to 50 pounds
  • Ability to make sound decisions, respond to questions, and demonstrate intellectual capabilities
  • Submit unofficial transcripts and/or training certifications with application
  • Submit official transcripts prior to hire date
  • Academic credentials obtained outside the US must be validated by a recognized credential evaluation service
  • Veterans must submit DD Form 214 during application process

Job Qualifications

  • Associate degree or equivalent experience in Student Services or related field
  • Knowledge of FERPA law
  • Proficient in Microsoft Office software including Word and Excel
  • Familiarity with Student Information Systems
  • Understanding of record keeping principles and procedures
  • Excellent spelling, grammar, and punctuation skills
  • Familiarity with modern office procedures, methods, and computer equipment
  • Strong communication skills including written, verbal, and interpersonal communication
  • Experience with document imaging and Ellucian Colleague preferred
  • Experience working in post-secondary student services preferred
  • Ability to manage multiple tasks and accuracy in data reconciliation
  • Critical thinking and problem-solving abilities

Job Duties

  • Retrieve and reconcile complex information across multiple systems and departments to maintain complete and accurate student and class records
  • Review registration forms and required documentation for accuracy, completeness, and compliance with college and state policies
  • Coordinate with program directors, Enrollment Operations, Registrar, and Business Office to resolve issues related to section creation, billing discrepancies, or documentation requirements
  • Manage the preparation and submission of FTE class packets ensuring accuracy and timely completion in compliance with audit standards
  • Apply critical thinking to investigate and correct discrepancies in registration, documentation, or compliance data
  • Understand and interpret college, state, and federal policies to ensure enrollment and recordkeeping practices meet audit and reporting requirements
  • Maintain and update class packet logs for efficient tracking
  • Support processes such as attendance and grading entry, instructor contracts, and documentation for instructional staff
  • Maintain and update class schedules, student records, rosters, and communicate cancellations or changes to students
  • Develop and execute communication plans related to enrollment processes via multiple platforms
  • Process and document student refund and section transfer requests ensuring proper documentation
  • Verify and document multiple payment types and registration sources for accurate reconciliation
  • Assist in responding to inquiries and supporting prospective students
  • Support operational efficiency by managing office equipment and participating in college-wide events and committee work
  • Facilitate collaboration through discussion and training
  • Provide coverage for Student Services front counters as needed
  • Participate actively in departmental meetings
  • Perform related duties as assigned
