Job Requirements

  • Bachelor's degree or equivalent experience
  • 5 years of non-profit events experience or related work
  • ability to work independently with strong organizational skills
  • ability to handle multiple competing priorities with attention to detail
  • proficient in managing deadlines and event planning
  • willingness to travel approximately 5% domestically
  • strong communication and collaboration skills

Job Qualifications

  • 5 years of non-profit events experience or related work
  • ability to work independently and handle competing priorities with keen attention to detail
  • skill to manage planning of multiple events simultaneously while meeting deadlines and maintaining high organization and flexibility
  • demonstrated program design capabilities with a focus on maximizing customer experience, prioritizing budgets and deadlines, creating efficiencies, ensuring effective communication and collaboration, and standardizing tools and templates
  • solid computer and database skills
  • preferred proficiency in Microsoft Excel, PowerPoint, and Word
  • experience with Salesforce, Blackthorn, Hubspot, Asana, InDesign, and Photoshop is a plus

Job Duties

  • Develops comprehensive event execution plans that support overall event goals and desired outcomes, integrating stakeholders across teams in a thoughtful manner and ensuring event plans incorporate best practices in event management, logistics, and attendee engagement
  • manages event execution plans including project and stakeholder management throughout the entire event lifecycle, developing and managing communication streams, serving as an internal and external point of contact, managing budget, invoices, and deadlines, designing materials, reviewing invitations and all copy sent to invitees, speakers, and hosts, problem solving when issues arise, leading day-of execution, and supporting event follow-up
  • trains and oversees activities of Resource Generation Branch Coordinators on events to ensure effective task execution including venue search, invitation list management, mailing invitations, tracking RSVPs, producing event materials, coordinating staff travel, assisting with invoice management and reimbursements, updating database, and developing event materials
  • provides high-level support for events led by the Associate Director of Donor Experience and works closely to develop new and innovative tools for event strategies
  • stays up-to-date on best practices for project management and event inclusivity and implements tools and strategies accordingly
  • travels as needed to execute events in person
  • works closely with the Associate Director in the conceptualization and design of donor events tailored to target audiences ensuring alignment with PIH's mission, priorities, and brand
  • builds, implements, and refines templates, tools, and processes that scaffold event planning to maximize efficiencies, collaboration, and effective communication
  • develops, implements, and continuously improves database systems and reporting tools to track event KPIs and guide strategic decision-making
  • provides insight and input on fiscal year strategy and planning
  • leads special projects as they arise
  • supports the donor engagement team including assistance with site visit execution and collateral design integration
