Job Requirements

  • Minimum 2-3 years of experience in administrative support work, preferably with a non-profit organization and in donor development
  • Strong organizational skills with ability to shift priorities and maintain productivity in a fast-paced environment
  • Ability to support multiple team members, prioritize workload, multi-task while meeting deadlines, and problem-solve while offering solutions
  • Ability to work with highly sensitive and confidential donor information using appropriate discretion when sharing information
  • Ability to work independently but also be a team player with a heart to serve
  • Proficiency in the use of Microsoft Office applications including Word, Excel, Calendars, and Outlook
  • Customer Relationship Management (CRM) system experience desirable
  • Good phone presence, interpersonal skills, and customer service emphasis
  • Good judgment, analytical abilities and attention to detail
  • Event assistance may require occasional evening and weekend work
  • Ability to maintain composure, even in very difficult situations
  • This role requires accepting criticism and dealing calmly and effectively with high stress situations
  • Demonstrated dependability shown by being reliable, responsible, and fulfilling obligations

Job Duties

  • Create and run daily donation reports and quarterly analysis department reports
  • Analyze and alert appropriate team members of any issues or concerns or follow up
  • Process weekly wealth screen process for new donors who give $500+ single gift or new contacts
  • Demonstrate thorough knowledge of Net Suite and SalesForce databases to enter new contacts and donors, update account information and create reports
  • Collaborate with team members, gather support materials needed for various donor trips, conferences, special event, etc, and coordinate shipping if necessary
  • Create queries and run various lists/reports for various mailings, invitation lists, special projects, etc
  • Assist with event registration and coordination of donor events
  • Oversee and maintain inventory of development support materials, promotional devices and event materials
  • Research donors/prospects and general donor development information as requested by team members via Intelius
  • Process orders in Net Suite for requested items to be sent to donors/partners
  • Participate in department/event meetings and working groups, as necessary
  • Distribute welcome packets every Friday to all new donors
  • Distribute prayer letter every 3 months to donors and partners
  • Maintain department master calendar
  • Assist with donor reports and proposal mailings
  • Perform general administrative duties including written and verbal correspondence
  • Run errands as needed, which may include shopping for donor gifts when requested
  • Cover front desk and phones as requested
  • Schedule rooms for all guests at Beulah retreat center, including donors and high level ministry partners, as well as non-FCBH guests (missionaries, group retreats, etc), requiring constant monitoring of room availability, communications with guests and Jackson family
  • Ensure coordination with the hospitality specialist from the department hosting the visitors
  • Coordinate detailed schedules/agendas for invited guests with hospitality specialist in hosting departments, providing names, titles, and contact details with a copy to the Jacksons indicating all Beulah scheduling
  • Provide names and titles of guests to Customer Service for welcome signs and name tags for guests
  • provide Wi-Fi Internet access codes for guests
  • Maintain inventory of all hospitality supplies and equipment for all conference rooms, including ordering and stocking of drinks/condiments/plastic and paper goods, as well as purchases of food and non-food items connected with ministry hospitality
  • Perform general hospitality tasks for ministry guests per Faith Comes By Hearing's Hospitality Handbook
