Job Requirements

  • Bachelor’s degree
  • 3+ years experience in high-level event planning
  • 4+ years clerical experience in an executive office setting
  • Strong customer service skills
  • Proficient with MS Office
  • Familiarity with office equipment
  • Ability to coordinate complex scheduling
  • High discretion with confidential information
  • Strong organizational and communication skills
  • Availability to work evenings, weekends, and occasional travel
  • Knowledge of Catholic and Jesuit environment

Job Qualifications

  • Bachelor’s degree required
  • 3+ years of high-level event planning experience preferably in higher education or nonprofit sectors
  • 4+ years clerical experience in an executive-level office setting required, university setting preferred
  • Strong customer service orientation with ability to build collaborative relationships
  • Extensive proficiency with MS Office products including Word, Excel, PowerPoint
  • Competency in office equipment such as multi-line phone systems, fax machines, and photocopiers
  • Ability to coordinate complex calendar scheduling and electronic scheduling tools
  • High discretion handling confidential information
  • Strong organizational, proofreading, analytical, oral, written, and interpersonal communication skills
  • Ability to analyze and improve office procedures
  • Familiarity with organizational structure, policies, and leadership
  • Knowledge of Catholic and Jesuit work environments
  • Ability to work events during evenings and weekends and travel occasionally

Job Duties

  • Manage the Assistant Director of Events and event staff to ensure mission-aligned event execution
  • Plan and execute College and Presidential events including Convocation, Mass of the Holy Spirit, Christmas Party, and Commencement
  • Manage vendors, book speakers and venues, handle event budgets and logistical details
  • Support Presidential involvement in various receptions and special events
  • Collaborate with leadership to define invitee lists and manage event communications and marketing
  • Work with Government and Foundation Relations for dignitary visits
  • Oversee Board of Trustees support including meeting logistics and material distribution
  • Manage College sponsorships of community and nonprofit events including budgeting and coordination
  • Provide direct support to the President and Chief of Staff including travel arrangements, council meeting organization, and expense management
  • Maintain the President’s public profiles and communications
  • Manage daily operations of the President’s Suite and ensure excellent customer service
  • Review and process incoming mail and correspondence
  • Track budget allocations and process payments
  • Manage College memberships and records
  • Perform mission-aligned role-modeling and engage in professional development
  • Attend meetings and comply with institutional policies
  • Perform related duties as assigned
