Job Requirements
- Minimum of two years of related experience in a reservations department
- Luxury hotel experience preferred
- Responsibility for Reservations Department including sales agents and Managers-in-Training
- Fluent in English with excellent listening, speaking, reading, and writing skills
- Ability to write sensitive and nuanced business correspondence
- Ability to analyze and interpret business reports
- Strong mathematical skills for various calculations and analyses
- Working knowledge of Opera Cloud PMS
- Proficiency in Microsoft Office programs
- Experience with revenue software and SynXis systems preferred
- Ability to work effectively under pressure and stressful situations
- Ability to provide clear instructions and analyze data for logical conclusions
- Able to stand, walk, sit and communicate regularly while performing duties
- Commitment to maintaining high service standards in a luxury hotel environment
Job Qualifications
- Minimum of two years related experience in a reservations department
- Luxury hotel experience preferred
- Proven leadership and team management skills
- Fluency in English with excellent communication skills
- Ability to write professional correspondence and reports
- Strong analytical and mathematical skills including trend analysis and cost-benefit evaluation
- Proficiency with hotel property management systems, especially Opera Cloud
- Experience with revenue management software and SynXis preferred
- Competent with Microsoft Office, particularly Excel
- Ability to work under pressure and adapt to changing environments
- Skilled in negotiating, selling, and influencing within a professional context
- Strong reasoning and decision-making skills
Job Duties
- Oversee the reservations department to create and maintain repeat business by offering the highest level of service
- Hire and train Reservation Sales Agents and coach them regularly
- Ensure timely and accurate processing of all reservation inquiries via telephone and email
- Supervise VIP and repeat guest reservations and communicate information to hotel operations
- Liaise with Leaders Club Ambassadors to maintain accurate pre-arrival and post-stay reservation information
- Manage group blocks with proper communication and coordination with Sales
- Authorize and manage commission reporting daily and weekly
- Collaborate with Director of Revenue to manage third-party distribution channels ensuring accuracy and inventory availability
- Monitor system interfaces to keep all reservation channels open and accurate
- Update CRM content as needed
- Advise Director of Sales and Director of Revenue on reservations to aid in achieving budgeted revenues
- Analyze business data to identify trends and report to support selling initiatives
- Prepare daily, weekly, and monthly reports and host weekly yield meeting
- Process payroll and time-off requests for the department
- Assist in budget goal creation
- Handle inquiries and complaints requiring managerial authority
- Follow The Hay-Adams Handbook and departmental SOPs
- Perform other functions as required and directed
