Job Requirements

  • Minimum seven years of experience in planning corporate or ultra-high net worth events
  • experience with Fortune 50 companies
  • bachelor’s degree in a relevant field or equivalent experience
  • knowledge of event suppliers like hotels, caterers, décor, transportation, security
  • strong budget management skills over one million dollars
  • proficiency with Microsoft Office, SharePoint, Adobe Acrobat, Zoom, DocuSign, Google Suite
  • excellent organizational abilities
  • attention to detail
  • ability to multitask and remain calm under pressure
  • strong interpersonal and communication skills
  • willingness to travel up to 40 percent annually including holidays

Job Qualifications

  • Minimum seven years of experience in corporate or ultra-high net worth event planning
  • experience working with Fortune 50 companies
  • strong knowledge of traditional event suppliers including hotels, caterers, décor, floral vendors, transportation, and security
  • client management skills incorporating pitching, contracting, invoicing, and relationship management
  • budget management experience with budgets over one million dollars including post-event reconciliation
  • ability to manage, train, and mentor staff
  • bachelor's degree in business, communications, marketing, hospitality management, sports management, hotel management, or a related field or equivalent experience
  • proficiency in Microsoft Office Suite, SharePoint, Adobe Acrobat, Zoom, DocuSign, and Google Suite
  • highly organized and process-oriented
  • attention to detail and accuracy
  • ability to multitask and remain composed under pressure
  • strong communication and interpersonal skills
  • strong work ethic with commitment and positive energy

Job Duties

  • Direct execution of all event phases including pre-event and post-event activities
  • oversee all aspects of specific event delivery for clients or a series of events
  • proactively troubleshoot and anticipate client needs onsite and leading up to events
  • manage project milestones and deadlines while aligning with client expectations
  • forecast and maintain event budgets
  • lead event teams including full-time staff and external contractors
  • delegate event tasks such as client calls, guest list management, hotel and transportation coordination, staffing management
  • collaborate with Business Development and Content teams on proposals, program curation, budget building, and client pitches
  • coordinate with Legal, Accounting, Transportation, Accommodations, and Workforce Operations departments
  • facilitate team meetings alongside Vice President
  • manage onsite staff and vendors
  • negotiate vendor, service, and venue contracts
  • oversee hiring, hours, and expenses for external contractors
  • provide training, coaching, and evaluation of event staff
  • establish and enforce company policies with Vice President
  • manage P&L with senior leadership
  • handle expense reports
  • process and track invoices
  • onboard vendors
  • maintain file management on SharePoint
