Churchill Downs Racetrack, located in Louisville, Kentucky, is an iconic sports venue renowned worldwide as the home of The Kentucky Derby, the longest continually held annual sporting event in the United States since 1875. Job Requirements

  • Bachelor's degree in sports, business management, or related field recommended
  • Minimum 5 years of leadership experience in sports and entertainment operations, venue operations, or project management with emphasis on events preferred
  • Proficiency with software tools including Word, Excel, Outlook, Smartsheet, Visio, and PowerPoint
  • Ability to manage multiple projects at once
  • Strong budget management and forecasting ability
  • Capability to analyze and disseminate information in writing
  • Comfort working under pressure with diverse personalities
  • Ability to work flexible hours including nights, weekends and holidays
  • Ability to be on feet for long periods and work outdoors in adverse weather conditions

Job Qualifications

  • Bachelor's degree in sports, business management, or related field recommended
  • Minimum 5 years of leadership experience in sports and entertainment operations, venue operations, or project management with emphasis on events
  • Proficient with software such as Word, Excel, Outlook, Smartsheet, Visio, PowerPoint and other MS suite applications
  • Strong budget management skills with ability to forecast and track expenses
  • Excellent written communication skills capable of detailed information analysis and dissemination
  • Demonstrated ability to manage multiple projects concurrently
  • Diplomatic and collaborative personality able to work under pressure while maintaining composure
  • Willingness to work flexible hours including nights, weekends and holidays as required

Job Duties

  • Serve as the on-site lead for all Derby Week operations vendors including temporary builds, fencing, and portable restrooms
  • Provide recommendations on vendor selection, conduct RFPs and negotiate contracts
  • Maintain working knowledge of all contracts including pricing, deliverables, deadlines, insurance requirements and renewal planning
  • Develop and disseminate vendor guidelines ensuring compliance with all onsite vendors
  • Manage project budget, track changes, process purchase orders and invoice reconciliation
  • Create and manage all Derby operational timelines
  • Oversee timely production of site planning sets ensuring accuracy and confirmation of final 'as-built' set at event completion
  • Provide daily leadership to production teams for oversight and troubleshooting of temporary builds and operational tasks
  • Collaborate with departments and stakeholders to ensure deadlines are met and event setup remains on schedule
  • Conduct daily construction meetings with staff and contractors
  • Develop a platform to collect and track space requests and facility support requirements
  • Track requests and determine priorities for in-house resources including IT, electrician, maintenance, waste management, and sign production
  • Manage internal and external Derby Dashboards for information sharing and resource requisition forms
  • Coordinate all Derby Week temporary signage including location, design, installation, dismantle and post-event inventory/storage
  • Create and update Derby Standup presentations
  • Provide timely communication to departments and stakeholders regarding project status, changes and milestones
  • Serve as primary keeper of all Derby Week planning materials including renderings, engineering drawings, photos/aerials, presentations and project orders
  • Collect, consolidate and archive all after-action reports and materials for future planning
  • Collaborate on future facility planning impacting Derby operations
  • Perform other duties and special projects as assigned
