Job Requirements

  • Possession of a high school diploma
  • Two years recreation, hospitality or special event experience
  • Fluency in English both verbal and non-verbal
  • Ability to perform job functions with attention to detail, speed and accuracy
  • Ability to prioritize and organize
  • Ability to be a clear thinker, remaining calm and resolving problems using good judgment
  • Ability to follow directions thoroughly
  • Ability to understand guest service needs
  • Ability to work cohesively with co-workers as part of a team
  • Ability to work with minimal supervision
  • Ability to maintain confidentiality of guest information and pertinent hotel data
  • Preferably possess a college diploma
  • Fluency in a second language, preferably Spanish
  • Previous guest relations training

Job Duties

  • Plan and execute corporate group events including activities, décor, entertainment, and transportation
  • Coordinate with Recreation department and Destination Services vendors for regular planning and updates
  • Manage administration and invoicing of Destination Services
  • Maintain detailed knowledge of all Destination Services offerings and comply with departmental policies and standards
  • Facilitate group team-building events and assist with décor setup
  • Process charges to group master accounts or guest accounts
  • Research and create new group offerings and update marketing materials
  • Book and block Destination Services activities in FareHarbor
  • Confirm all event details including activities, décor, entertainment, and transportation
  • Create Banquet Event Orders and diagrams
  • Communicate event details with other resort departments
  • Respond promptly to guests and maintain positive guest relations
  • Monitor cleanliness and organization of work areas
  • Track budget and revenue for group events
  • Send vendor confirmations and manage contracts
  • Assist in creating decks and proposals
  • Coordinate staff scheduling for events
  • Create and submit expense reports and update department SOPs
  • Communicate with Accounting regarding vendor payments
  • Use systems such as BirchStreet, FareHarbor, Salesforce, and POS
  • Order necessary supplies for office and events
  • Demonstrate flexibility to support other Destination Services and resort functions as needed
