- Excellent written and verbal communication skills
- 2+ years of experience coordinating business travel, events, or administrative operations
- Experience supporting executive leadership or large-scale training programs
- Familiarity with corporate expense reporting and budgeting
- Ability to manage multiple programs simultaneously in a fast-paced environment
Job Duties
- Coordinate and book domestic and international air travel for employees, attendees, instructors, and leadership based on program schedules
- Arrange hotel accommodations and manage room blocks and individual reservations
- Prepare and distribute rooming lists to designated hotels
- Coordinate ground transportation as needed (rental cars, shuttles, ride services)
- Support multiple company programs and classes held throughout the year, including recurring and new programs
- Manage travel logistics for in-person and hybrid program formats
- Send "Everything You Need to Know" communications to attendees and instructors prior to each event when needed
- Process all travel-related expenses using a corporate credit card
- Accurately allocate and expense charges back to appropriate departments or facilities
- Track travel costs and assist with budget management and reporting
- Maintain detailed travel records using Smartsheet or other approved tracking systems
- Ensure accuracy and consistency of attendee lists, itineraries, and confirmations
- Assist in developing and documenting travel processes for new programs
- Serve as the primary point of contact for travel-related questions and changes
- Communicate clearly and professionally with travelers, vendors, and internal stakeholders
- Proactively address travel disruptions, changes, or urgent issues
