Job Requirements
- High school diploma or equivalent
- previous experience in administrative support, preferably in healthcare or dental environments
- knowledge of medical/dental appointment scheduling software
- proficiency with office productivity software
- excellent communication skills
- ability to maintain patient confidentiality and comply with privacy regulations
- strong organizational skills
- ability to multitask and manage time effectively
- ability to work collaboratively in a team environment
- familiarity with infection prevention and safety protocols
- physical ability to lift or stock supplies occasionally
Job Qualifications
- Previous administrative experience in a healthcare, dental, or educational setting preferred
- experience with clinic scheduling software and compliance tracking tools
- familiarity with GreenLight Dental and Eaglesoft is a plus
- strong interpersonal, communication, and organizational skills
- proficiency in Microsoft Office Suite including Excel, Word, and Teams
- proficient with general office technology such as Outlook, MyIvy, and Workday
- ability to work collaboratively with students, faculty, and patients in a diverse, inclusive setting
- familiarity with infection prevention protocols and public health guidelines
Job Duties
- Welcome patients, visitors, and students in a courteous and professional manner
- manage clinic appointment scheduling, confirmations, cancellations, and waitlists using electronic systems
- maintain and update patient files in compliance with privacy regulations such as PHIPA and HIPAA
- respond to inquiries in person, by phone, and via email, providing information about clinic services and policies
- assist with check-in/check-out procedures, patient forms, and fee collection
- order and track dental and office supplies in coordination with clinic coordinator and instructional staff
- organize, stock, and maintain supplies in designated storage and treatment areas
- assist in daily upkeep of reception and common areas to ensure a clean, safe, and professional environment
- monitor and document infection prevention protocols using GreenLight Dental Compliance Center
- collaborate with faculty and students to ensure protocols are followed in line with public health guidelines and program standards
- support clinic readiness for audits or inspections by maintaining accurate compliance records
- communicate effectively with dental hygiene students and faculty to support smooth clinic operations
- contribute to a supportive learning environment that emphasizes professionalism and patient-centered care
