Job Requirements

  • High school diploma or GED or equivalent
  • At least five years of experience in clerical or administrative office work
  • Proficiency in office software and university systems
  • Ability to work onsite Monday through Friday, 8:00 am to 5:00 pm
  • Strong communication and interpersonal skills
  • Ability to prioritize and manage multiple tasks independently
  • Compliance with background check and employment eligibility verification
  • Acceptance of California State University Out-of-State Employment Policy
  • Ability to comply with University driving requirements if applicable
  • Adherence to designated conflict of interest regulations
  • Willingness to complete required trainings and attend meetings

Job Qualifications

  • High school diploma or GED or equivalent
  • Five years of progressively responsible experience in clerical or secretarial work
  • Comprehensive knowledge of university policies and procedures
  • Mastery of English grammar, punctuation, and spelling
  • Expertise in office software, technology, and systems
  • Ability to manage multiple priorities and projects independently
  • Strong judgment and discretion in policy interpretation
  • Problem-solving skills and ability to anticipate impacts of operational decisions
  • Competence in business math and budgetary analysis
  • Effective written and oral communication skills
  • Interpersonal skills for handling sensitive and diverse interactions
  • Negotiation and persuasion skills to expedite projects
  • Preferred: Bachelor’s degree in a related field
  • Detailed knowledge of university infrastructure and policies.

Job Duties

  • Answer incoming calls and respond to emails
  • Greet and assist students, faculty, staff, and visitors with professionalism
  • Serve as primary information resource for university and department policies and procedures
  • Resolve problems in assigned areas using judgment and discretion
  • Handle incoming and outgoing mail and maintain mailbox organization
  • Assist Dean's Office with special projects and assignments
  • Rotate between departments according to need
  • Assist Department Chairs with scheduling meetings and calendar management
  • Process faculty professional development requests and procurement forms
  • Support department events with room reservations, catering, and announcements
  • Help chair download and share student evaluations
  • Track and post university and department information to webpages and displays
  • Complete required university and college training
  • Support Dean's Office event planning including venue and catering arrangements
  • Assist with course scheduling and entering permission numbers
  • Provide basic student support by directing to proper resources
  • Coordinate advising processes and track academic petitions
  • Respond to student registration issues and assist with orientation sessions.
