Job Requirements
- High school diploma or equivalent
- prior experience in a corporate office or hospitality environment
- excellent organizational and time management skills
- strong interpersonal and communication skills
- proficiency in Microsoft Office Suite
- ability to multitask and work in a fast-paced environment
- attention to detail and problem-solving skills
- ability to maintain confidentiality and professionalism
- willingness to travel occasionally for company events
- ability to work collaboratively with a diverse team
Job Qualifications
- Ability to communicate verbally and in writing in a professional manner using the English language
- working knowledge of MS Outlook, Word and Excel
- experience answering the telephone and transferring callers using a multi-line telephone system
- ability to operate a complex photocopier
- previous hotel or hospitality experience or a degree in hospitality or related field
- ability to work with people of varying personalities using tact and patience
- proficiency in Outlook, Word, Excel, PowerPoint, Adobe and Canva
- working knowledge of or willingness to train on M3, SharePoint, Avigilon, Control 4 and other office systems
Job Duties
- Answer multi-line telephone in a courteous and professional manner
- provide information and connect callers to the appropriate person
- take messages and research requests as needed
- offer a welcoming and enthusiastic greeting for all visitors to the corporate office
- maintain neat and tidy appearance of the reception area, boardroom and public areas of the office
- manage incoming and outgoing mail including US Postal and expedited services such as FedEx and UPS
- respond to email requests using Outlook and schedule appointments as requested
- manage the booking schedule for the boardroom and ensure it is set up for scheduled meetings
- maintain office supply and in-house food and beverage inventories and place orders adhering to budgetary guidelines
- maintain office equipment in good working order and schedule required maintenance
- serve as company liaison for managing third party tech support
- manage SharePoint MS access for hotel properties
- create and maintain files and perform clerical duties including document creation, correspondence, data entry and report accuracy review
- assist with planning, logistics and execution of corporate events such as annual Coastal Conference and company Holiday Party
- manage SVP of Operations calendar including office appointments, travel, events and personal appointments
- take or retype notes and documents for SVP of Operations
- allocate and track expenses on SVP’s corporate credit card
- assist in development management of company portfolio non-hotel properties
- maintain security system and office key cards using Avigilon Access Control Manager
- plan all aspects of SVP of Operations travel
- maintain SVP travel memberships and passports
- update monthly General Managers meeting agenda
- complete weekly and monthly Revenue and Sales Report updates
- maintain office organization and seasonal or holiday décor
