Job Requirements

  • 5-8 years of relevant experience
  • Based in Miami or West Palm Beach area
  • Willingness to work in-office at least four days a week
  • Ability to work flexible hours including evenings and weekends
  • Exceptional communication skills
  • Strong organizational capability
  • Experience with high-profile event logistics
  • Proven problem-solving skills
  • Ability to manage complex travel and guest services with discretion
  • Capacity to develop and present executive-level reports

Job Qualifications

  • 5-8 years of experience in high-profile event production preferably within financial services
  • Experience with conference and sports and entertainment hospitality
  • Strong organizational skills with ability to manage multiple projects and deadlines
  • Exceptional verbal and written communication skills
  • Proven ability to manage complex travel logistics and high-profile guest services
  • Experience working with C-Suite executives or high-net-worth individuals
  • Ability to develop and present high-level reporting to senior leadership
  • Problem-solving mindset with ability to remain calm under pressure
  • Ability to work flexible hours including evenings and weekends
  • Self-starter with ability to work independently

Job Duties

  • Lead the planning, coordination, and execution of high-profile client-hosted events
  • Oversee all event elements including venue selection, logistics, creative direction, vendor management, production execution, and post-event evaluations
  • Develop and manage production timelines, run-of-show schedules, and contingency plans
  • Ensure all event components uphold the highest standard of execution aligning with client and agency brand and quality expectations
  • Travel as needed for on-site event execution providing hands-on leadership and problem-solving
  • Serve as a point of contact between agency and client acting as trusted advisor on assigned projects
  • Communicate effectively with stakeholders, internal teams, and vendors ensuring strategic alignment and seamless planning
  • Provide regular status updates with insights into event progress, challenges, and solutions
  • Work collaboratively with client leadership to ensure events are strategically impactful and aligned with business goals
  • Evaluate when additional agency support is needed acting as liaison to bring in necessary resources
  • Manage ancillary event experiences such as executive dinners, private receptions, and bespoke hospitality engagements with exceptional attention to detail
  • Ensure guest experiences are personalized, seamless, and reflective of premium standards from arrival through departure
  • Oversee event budgets ensuring cost-effective solutions while maintaining highest quality
  • Source, negotiate, and manage vendor contracts including venue, catering, AV, decor, and transportation
  • Partner with creative teams to design and implement brand-aligned event collateral, digital content, and immersive experiences
  • Anticipate potential risks and develop contingency plans
  • Lead crisis management efforts on-site ensuring quick decision-making and effective resolution of unexpected issues
