Job Requirements

  • 7+ years of corporate event planning experience
  • Minimum of 5 years managing and mentoring event teams

  • Willingness to work flexible hours including evenings and weekends
  • Ability to travel approximately 25%
  • Physical capability to lift and transport event materials

Job Duties

  • Lead the end-to-end planning and execution of a wide range of events, including internal team events, corporate-wide functions (e.g., holiday parties, milestone celebrations, town halls), and client-facing activations
  • Oversee all logistical components of event management, including budgeting, staffing, timeline development, vendor coordination, and onsite execution
  • Ensure all events are planned and executed according to established timelines, from initial concept to post-event evaluation
  • Strictly adhere to deadlines, ensuring that all agreed-upon interdepartmental milestones are met on time
  • Develop and maintain Standard Operating Procedures (SOPs), planning templates, and tracking systems to streamline event workflows and post-event analysis
  • Serve as the primary decision-maker for the Event Office in the absence of senior leadership
  • Establish and nurture relationships with vendors, venues, and suppliers
  • negotiate competitive contracts to ensure value, service quality, and alignment with company standards
  • Review and secure appropriate approvals for all venue and vendor contracts, in collaboration with Legal and the Chief People Officer, ensuring compliance with company policy and budget constraints
  • Partner with Accounts Payable to audit and manage vendor payment approvals
  • Maintain a detailed and up-to-date database of venues and vendors in San Diego and other key markets
  • Coordinate and support day-of staffing logistics for large-scale and VIP events
  • Conduct quarterly reviews of event offerings, working closely with Event Coordinators and Planners to increase participation and engagement
  • Collaborate cross-functionally with Marketing, Operations, Finance and other teams to ensure cohesive and effective event experiences, including conference support
  • Ensure accurate financial documentation, budget tracking, and comprehensive post-event reporting
  • Conduct post-event evaluations and collect feedback to refine future event strategy and improve attendee satisfaction
