Job Requirements

  • Bachelor's degree or equivalent combination of education and experience
  • One year of scheduling or event coordination experience including supervision of student workers
  • Ability to manage detailed financial records
  • Knowledge of word processing, spreadsheet, and database applications
  • Strong organizational skills
  • Effective oral and written communication skills
  • Ability to multitask and maintain high energy
  • Outgoing and friendly personality
  • Ability to apply procedures equitably
  • Experience with campus-wide scheduling software
  • Ability to train and monitor 25Live users
  • Availability to assist with weekend and night events
  • Ability to provide statistical reports and technical support

Job Qualifications

  • Bachelor's degree in an applicable field or equivalent combination of education and experience
  • One year of scheduling/reservations and event coordination experience including supervisory experience of student workers
  • Ability to manage detailed financial records
  • Knowledge of word processing, spreadsheet, and database applications
  • Strong organizational skills
  • Highly effective oral and written communication skills
  • Ability to work on several projects simultaneously while maintaining high energy
  • Outgoing and friendly personality with customer service skills
  • Ability to apply procedures equitably and recognize unusual requirements
  • Experience with campus-wide scheduling software
  • Ability to train, advise, and monitor users of 25Live
  • Experience providing university presentations on 25Live
  • Willingness to assist with weekend and night event management
  • Ability to provide statistical reports on building usage, event types, and participation
  • Ability to provide technical support and report problems to supervisor

Job Duties

  • Oversees event services and the student staff
  • Consults with event planners to clarify or confirm space requests and ensure all details are accurate
  • Receives and processes space requests for various campus venues
  • Ensures all information is inputted and completed into 25Live for all reservations
  • Recruits, trains, schedules, supervises, and evaluates employees involved in events services
  • Develops, manages, and oversees facilities and event calendars
  • Negotiates costs and develops contracts with clients
  • Administers insurance documents and waivers of liability
  • Develops event-related procedures and oversees reporting
  • Oversees website design and promotion including social media ventures
  • Makes recommendations for procedure implementation
  • Helps maintain and coordinate the centralized events calendar for campus
  • Aids in promoting campus community through event planning and publicity
  • Assists in managing the student center information desk and supervises student team members
  • Assists in overseeing petty cash and credit card transactions and compliance
  • Reconciles event services budgets monthly and collects accounts payable
  • Provides technical support for clients using the student center
  • Reports technical/production problems to supervisor
