Job Duties
- Conduct comprehensive research on hotels and dining venues
- create detailed attendee and rooming lists in Excel and Workday
- assist with tracking and reporting event expenses
- review and proofread department communications
- support document management processes including contract signatures and email correspondence
- create and produce printed materials such as name badges and signage
- build online event registration sites in Cvent
- manage and input registration data
- support planning and execution of virtual meetings
- deliver on-site support for Chicago-based meetings including coordinating room setups and AV equipment
- manage catering and event logistics on-site
- assist with setup of planning offices and event supplies
- prepare name badge displays and welcome collateral
- review meeting and meal setups to verify accuracy
- assist with transportation arrangements, signage placement, and collateral distribution
- pack and ship materials post-event
- maintain departmental databases and event calendars
- manage attendee contact data
- assist in invoice collection and vendor payments
- conduct research and maintain hotel and venue information repository
- provide monthly departmental briefings
- organize and electronically file collateral materials
- procure meeting supplies and manage in-office inventory
- coordinate departmental shipments
- prepare and distribute meeting minutes and conference call notes
