Job Requirements

  • Bachelor’s degree or equivalent experience
  • prior experience in meeting or event planning preferred
  • proficiency in Microsoft Office applications
  • strong organizational skills

  • ability to lift and move up to 25 pounds
  • willing to travel domestically and internationally
  • must reside in the Chicago area

Job Duties

  • Conduct comprehensive research on hotels and dining venues
  • create detailed attendee and rooming lists in Excel and Workday
  • assist with tracking and reporting event expenses
  • review and proofread department communications
  • support document management processes including contract signatures and email correspondence
  • create and produce printed materials such as name badges and signage
  • build online event registration sites in Cvent
  • manage and input registration data
  • support planning and execution of virtual meetings
  • deliver on-site support for Chicago-based meetings including coordinating room setups and AV equipment
  • manage catering and event logistics on-site
  • assist with setup of planning offices and event supplies
  • prepare name badge displays and welcome collateral
  • review meeting and meal setups to verify accuracy
  • assist with transportation arrangements, signage placement, and collateral distribution
  • pack and ship materials post-event
  • maintain departmental databases and event calendars
  • manage attendee contact data
  • assist in invoice collection and vendor payments
  • conduct research and maintain hotel and venue information repository
  • provide monthly departmental briefings
  • organize and electronically file collateral materials
  • procure meeting supplies and manage in-office inventory
  • coordinate departmental shipments
  • prepare and distribute meeting minutes and conference call notes
