Job Requirements

  • Bachelor's degree preferred in Business, Events Management, Marketing or related field
  • Equivalent combination of skills, education, and experience considered
  • Proficient in English communication
  • Proficient college level math skills
  • Ability to exercise independent judgment in unpredictable situations
  • Proficient in Microsoft Word, Excel, Access and PowerPoint
  • Ability to learn Tessitura CRM
  • Skilled in internet and web-based searches
  • Valid driver's license
  • Ability to pass background screening and motor vehicle report
  • Ability to lift 30-50 lbs
  • Ability to work at varying heights
  • Ability to stand, walk, bend, stoop and reach for extended periods
  • Ability to work in varying temperatures and weather conditions
  • Ability to use a computer keyboard
  • Comfortable working near the general public
  • Comfortable working around invertebrates
  • Ability to work in fast-paced, team-oriented settings
  • Ability to work indoors and outdoors in all seasons
  • Adherence to dress code including closed-toed shoes

Job Qualifications

  • Minimum of three years experience in event planning, hospitality sales or similar industry
  • Previous guest relations, customer service and volunteer coordination experience
  • Familiarity with Butterfly House or Garden a plus
  • Highly visitor-oriented mindset and experience working with the public
  • Must be a self-starter, creative, flexible, and able to multitask
  • Media-trained spokesperson experience
  • Solid business acumen and knowledge of financial operating budget
  • Ability to direct work groups and provide guest service in a fast-paced environment
  • Exceptional communication skills at all levels
  • Demonstrated ability to work collaboratively
  • Strong internet research skills
  • Experience with event booking and layout software
  • Skilled in creating reports and business correspondence
  • Scheduling flexibility for weekends, evenings and holidays
  • Ability to travel locally occasionally
  • Professional and ethical conduct

Job Duties

  • Manage all aspects of private events including client communication, tours, contract finalization and day-of coordination
  • Manage and supervise public events on-site, develop project plans, maintain event timelines and coordinate equipment and supplies delivery
  • Book and negotiate vendor contracts including musical performers, entertainers, food, and beverage providers
  • Design area layouts, book event spaces, and communicate setup requirements with team members
  • Coordinate public event programming in collaboration with other departments
  • Support Butterfly House Education with conservation event logistics and facilitation
  • Collaborate with Marketing and Communications to promote events, prepare content for promotion and wayfinding
  • Create volunteer opportunities for events, recruit, and provide on-site support
  • Develop and conduct training sessions for staff and volunteers
  • Maintain accurate records and spreadsheets for volunteer schedules, expenses, and revenue
  • Support Garden signature events and exhibits as needed
  • Monitor and participate in seasonal display and event setup/teardown
  • Oversee facilities and equipment, coordinating repairs or adjustments
  • Conduct cross-divisional communication for event support, tours, and facility needs
  • Keep accurate records and meeting minutes
  • Track and document event and department expenses
  • Conduct research for future events and temporary exhibits
  • Conduct post-event debriefs with staff, vendors and stakeholders
  • Coordinate mailings as necessary
  • Act as Manager on Duty as assigned
  • Meet attendance guidelines
  • Follow all policies and procedures including safety protocols
  • Promote a culture of teamwork, collaboration, and respect
  • Work weekends, evenings or holidays as required
  • Perform other duties as assigned
