Job Requirements

  • High school diploma or equivalent
  • 1 year of administrative support, clerical, office, or relevant experience
  • Excellent human relations skills required
  • Ability to work independently including problem-solving, respect confidentiality, and maintain courtesy
  • Proficient in Microsoft Office software especially Word and Excel
  • Working knowledge of complex databases and calendar and email features
  • Experience working in a customer relationship management database
  • Ability to write clear and compelling stories
  • Must be authorized to work for any employer in the U.S.
  • Must maintain a current and valid Texas driver’s license if travel is required
  • Must be able to perform physical tasks including sitting, walking, standing, bending, repetitive typing, and lifting approximately 25 lbs

Job Qualifications

  • High school diploma or equivalent
  • 1 year of administrative support, clerical, office, or relevant experience
  • Associate's degree in general studies or a related field preferred
  • Six months to a year of experience with event planning or coordination preferred
  • Excellent human relations skills
  • Ability to work independently including problem-solving, respect confidentiality, and maintain courtesy
  • Proficient in Microsoft Office software especially Word and Excel
  • Working knowledge of complex databases and calendar and email features
  • Experience working in a customer relationship management database
  • Ability to write clear and compelling stories

Job Duties

  • Provide administrative support to the Institutional Advancement team to coordinate a comprehensive donor stewardship program and generate new and renewed gifts from alumni, friends, administrators/faculty/staff, parents, and students
  • Create and implement new approaches and maintain current methods to successfully steward and engage contributors on a more personal level including targeted marketing
  • Ensure quality, effective, and timely acknowledgment of all gifts and pledges
  • Record and track executed pledge agreements and provide copies to appropriate parties
  • Interface with administrators, faculty, and staff to seek impactful donor, faculty, and student stories to share with constituents through various outlets
  • Develop and run ad hoc reports using a CRM system for donor management, campaign progress, budget analysis, etc.
  • Extract data from the CRM system to provide specialized and focused mailing lists for all areas of advancement for solicitations, invitations, and stewardship initiatives and maintain the accuracy of those lists throughout the process
  • Assist the Director, Advancement Operations, and Manager, Donor Relations, and Special Events in appending CRM data so that contact information for alumni and donors remains current
  • Execute all stewardship deliverables including donor recognition displays, newsletters, endowment and annual reports, donor notifications of scholarship recipients, and aspects of stewardship for capital campaigns, major gifts, and annual giving efforts
  • Work collaboratively with the TJC Webmaster regarding online gift forms, processing, and automatic receipts to ensure stellar customer service and adherence to tax requirements
  • Assist in institutional advancement events including RSVP tracking, guest communications, and set up and breakdown
  • Maintain an archive of scholarship agreements to answer questions about donor intent
