Job Requirements
- bachelor's degree or equivalent experience
- 1-3 years of event coordination experience
- proficiency in Microsoft Office applications including Word Excel and Outlook
- knowledge of event management software such as Cvent preferred
- strong organizational and multitasking skills
- excellent communication and interpersonal abilities
- ability to manage deadlines and work under pressure
- willingness to travel up to 20 percent
- strong attention to detail
Job Qualifications
- 1-3 years of experience in a coordinator role planning and executing events
- highly proficient in Microsoft Word Excel Outlook and internet research preferred
- experience with Cvent and Salesforce a plus
- desire to complete the meeting management certification or equivalent
- personable flexible organized detail oriented and able to juggle a variety of important duties in a fast-paced environment
- self-starter who generates ideas
- ability to remain calm and focused under pressure
- strong follow-up and time management skills
- great attitude and client focus
- ability to travel up to 15-20 percent of your time
Job Duties
- assisting with the planning and execution of conferences including but not limited to working with vendors hotels and sponsors
- conducting research to select venues decor restaurants activities children's programming and entertainers
- serving as a liaison between the event technology specialist and project manager to ensure that all design communication reporting deliverables deadlines are set and met
- coordinating administrative aspects of conferences and other events including entering data and maintaining databases coordinating mailings reporting historical tracking and so forth
- acting as a liaison with travel vendors for flight bookings and changes
- proofreading transportation manifests hotel rooming lists and conference collateral
- collaborating with event technology specialist on internal conference software cvent for building registration and websites
- organizing internal meetings pre- and post-conference analyze feedback survey and identify future program trends
- proactively taking on additional department process marketing organizational and training initiatives
- working collectively with planner during the entirety of the pre-planning process as well onsite execution of programs and support
