Job Requirements
- Bachelor's degree in appropriate area of specialization
- Two years of experience in relevant administrative or office support roles
- Competency in Microsoft Office applications including Word, Excel, PowerPoint, Access, Outlook
- Ability to learn university-specific software modules such as PeopleSoft
- Strong organizational skills
- Effective communication skills
- Ability to multitask and manage multiple priorities
- Eligibility to work lawfully in the United States
- Successful passage of pre-employment screening including criminal record review and reference checks
Job Qualifications
- Bachelor's degree in an appropriate area of specialization or master's degree in an appropriate area of specialization
- Two years of relevant administrative experience
- Competency in Windows XP to support Word, PowerPoint, Excel, Access, Outlook and the Internet
- Ability to learn and work with University’s PeopleSoft modules
- Good organizational and office management skills
- Ability to manage multiple projects simultaneously
- Ability to work independently and take initiative
- Ability to follow through on tasks
- Willingness to work during special events and programs
- Strong service orientation
Job Duties
- Provides front desk support with service excellence and assists students, faculty, staff and administrators
- Directs phone calls to the appropriate staff members or departments and annotate messages as needed
- Coordinates direct and indirect communication as well as dissemination
- Receives, routes and responds to telephone calls and faxes
- Sort, logs and distributes incoming mail and prepares outgoing mail
- Maintains a comprehensive and confidential electronic filing system for project documentation, budget, reports, student records, correspondence
- Establish and maintain both paper and computer based files
- Prepares forms and materials for office functions including purchase requisitions, invoices, travel arrangements, travel authorizations, and expense reports, work orders
- Produce photocopies
- Maintain minor maintenance of copier
- Maintain office inventory of project and general office supplies
- Maintain inventory of departmental forms and publications
- Schedule and maintain conference meeting rooms
- Provide oversight and assistance to student workers
- Provide back-up support for other departments within the Division of Student Affairs
- Assist with review, processing and follow-up of budget, requisitions and position descriptions
- Maintain division-wide organizational charts and directories
- Perform other duties as deemed appropriate
