Job Requirements

  • College degree or equivalent experience
  • minimum 2-3 years in meetings industry operations
  • knowledge of virtual and hybrid event formats
  • excellent communication skills
  • multitasking ability
  • proficiency in Microsoft Office
  • familiarity with event management software (Cvent preferred)
  • understanding of client financial requirements
  • ability to work under tight deadlines
  • experience with life sciences events preferred
  • capability to manage onsite event leadership

Job Qualifications

  • track record of managing multiple projects simultaneously
  • ability to deliver creative outputs under tight timelines
  • proficiency with Microsoft Office
  • experience with event management software, preferably Cvent
  • experience in life sciences event operations a plus
  • experience in virtual office environments a plus

Job Duties

  • Project management for virtual, hybrid, or in-person meetings
  • client, financial, and vendor management
  • onsite services leadership
  • manage multiple projects on tight timelines
  • follow client mandated SOPs
  • provide digital producer and tech support for events
  • collaborate with procurement for event space and guestrooms
  • monitor contract terms and guest room blocks
  • manage event data and financial accuracy in event software
  • create and manage event documentation and timelines
  • guide teams through effective communication
  • collaborate with registration and group travel departments
  • coordinate ground transportation and travel communications
  • create and manage budgets and handle invoicing
  • audit and reconcile vendor invoices
  • manage cost savings and final invoice documentation
  • develop onsite emergency preparedness plans
  • understand life sciences client policies regarding HCPs
  • ensure compliance with HCP payment procedures
