- Familiarity with office software and project management tools

Job Duties
- Support efficient processes by coordinating calendars, schedules, and travel arrangements
- Preparing presentation materials with key stakeholders
- Composing and organizing detailed meeting notes
- Assist Project Managers with site specific scheduling such as bid packages, permit and plan approval routing
- Plan approval and tracking through landlords
- Coordinating access for surveying vendors
- Maintain cross-functional partnership with internal teams, external vendors, and general contractors
- Upholding consistent follow-up to obtain quotes, material ordering, project information, and forms
- Manage documentation, forms, and correspondence
- Conduct organized intake, filing and retrieval of information related to new construction and remodels
- Assist with recurring project tasks such as receiving, tracking, and tagging project materials
- Leverage municipal websites and liaise with applicable departments for new and ongoing renewal of licenses, permits, and code requirements
- Act as administrative support for online Construction Design and Management System (CDMS)
- Collaborate with Finance teams to maintain accurate project budget actuals by tracking and reconciling established budgets
- Process billing items for review and approval
- Own office management processes including supply orders, event coordination, meeting and calendar coordination
- Assist leadership with ad-hoc needs
