  • Prior experience in a construction or project coordination role
  • Familiarity with office software and project management tools
  • Strong communication skills
  • Ability to work independently and collaboratively
  • Detail oriented
  • Ability to manage multiple tasks and deadlines

Job Duties

  • Support efficient processes by coordinating calendars, schedules, and travel arrangements
  • Preparing presentation materials with key stakeholders
  • Composing and organizing detailed meeting notes
  • Assist Project Managers with site specific scheduling such as bid packages, permit and plan approval routing
  • Plan approval and tracking through landlords
  • Coordinating access for surveying vendors
  • Maintain cross-functional partnership with internal teams, external vendors, and general contractors
  • Upholding consistent follow-up to obtain quotes, material ordering, project information, and forms
  • Manage documentation, forms, and correspondence
  • Conduct organized intake, filing and retrieval of information related to new construction and remodels
  • Assist with recurring project tasks such as receiving, tracking, and tagging project materials
  • Leverage municipal websites and liaise with applicable departments for new and ongoing renewal of licenses, permits, and code requirements
  • Act as administrative support for online Construction Design and Management System (CDMS)
  • Collaborate with Finance teams to maintain accurate project budget actuals by tracking and reconciling established budgets
  • Process billing items for review and approval
  • Own office management processes including supply orders, event coordination, meeting and calendar coordination
  • Assist leadership with ad-hoc needs
