Job Requirements

  • Bachelor's degree or equivalent experience as per Florida Senate SB 1310
  • minimum two years of relevant experience or master's degree with equivalent experience
  • ability to work nights and weekends
  • physical capability to stand, walk, lift, and carry items up to 50 pounds
  • compliance with employment eligibility requirements
  • ability to coordinate multiple tasks and manage detailed logistical responsibilities
  • good communication and interpersonal skills
  • experience with event budgeting and contract processing

Job Qualifications

  • Bachelor's degree in communication, marketing, public relations, hospitality management, business management, digital media, or related field
  • master's degree in related fields preferred
  • three to five years of event planning experience in higher education or nonprofit organizations preferred
  • excellent organizational and multitasking skills
  • strong communication and interpersonal abilities
  • proficiency in event management technologies
  • ability to work nights and weekends
  • experience in budgeting and contract negotiation
  • demonstrated ability to collaborate with diverse stakeholders

Job Duties

  • Manages and supports areas central to USF Foundation events
  • serves as primary liaison with internal and external partners for event coordination
  • oversees logistical needs including site visits, facility booking, audiovisual, entertainment, decor, meals, transportation, parking, tours, registration, signage, and security
  • coordinates volunteers, staff, and student support including briefings and responsibility allocation
  • advises on event timelines, scripts, and run-of-show details
  • manages university-wide donor stewardship events including gift announcements, namings, dedications, and dinners
  • leads budgeting, planning, and logistical execution in partnership with hosting areas
  • prepares event briefing documents for university leadership
  • supports Office of the President event activities
  • administrates suite hospitality program including catering, decor, and donor hosting
  • monitors and controls event budgets and negotiates contracts
  • processes contracts and invoices with complete documentation
  • compiles, reviews, and maintains event-related statistical data and attendee feedback
  • utilizes technology to enhance event data collection and reporting
  • collaborates with Advancement Operations to maintain high attendee satisfaction levels
  • performs other duties as assigned
