Job Requirements

  • Bachelor’s degree in communication, marketing, public relations, hospitality management, business management, digital media, or related field
  • Two years of experience in related positions, or master’s degree in related fields
  • Or equivalent combination of related education and experience
  • Four years of direct experience may substitute for a bachelor’s degree
  • Experience with USF HPCC CAMLS policies and procedures preferred
  • Knowledge of digital management systems such as Delphi, Salesforce, QuickBase, or WFR
  • Strong organizational and communication skills
  • Ability to manage multiple tasks simultaneously
  • This position is not eligible for Visa sponsorship

Job Qualifications

  • Bachelor’s degree in communication, marketing, public relations, hospitality management, business management, digital media, or related field
  • Two years of experience in related positions or master’s degree in related fields
  • Experience with USF HPCC CAMLS policies and procedures preferred
  • Familiarity with Delphi, Salesforce, QuickBase, and WFR digital management systems preferred
  • Strong communication and customer service skills
  • Ability to collaborate effectively with internal and external stakeholders
  • Proficient in financial tracking and budgeting

Job Duties

  • Assist clients with planning, developing, and implementing activities at CAMLS
  • Collaborate with marketing and vendors to meet client needs
  • Coordinate all onsite event arrangements including audiovisual, room setups, catering, vendor schedules, housekeeping, and shipping and receiving
  • Communicate with key internal stakeholders
  • Maintain Salesforce activity account to provide logistical information from execution through invoicing
  • Manage all financial aspects of activities including tracking expenses and revenue, compiling and submitting vendor invoices, reconciling activities with digital management systems
  • Enforce policies related to tissue and animal utilization and maintain organized electronic event files
  • Facilitate agreements and contracts such as letters of agreement and hotel contracts
  • Develop and maintain detailed course budgets
  • Coordinate travel arrangements for event faculty and participants
  • Plan and implement promotional materials
  • Collaborate with CAMLS and hotel caterers
  • Solicit and reconcile grant and exhibitor support
  • Perform other duties as assigned
