Job Requirements

  • Bachelor’s degree preferred
  • Five plus years of professional hospitality experience in hotel group or catering sales, convention services or collegiate conference and events industry
  • Proficient in Microsoft Office Suite and hospitality sales software
  • Ability to work evenings, weekends and holidays as business dictates
  • Must be 18 years or older
  • Successfully complete a Live Scan background check prior to employment
  • Ability to drive University vehicles and maintain a satisfactory driving record under California DMV Pull Notice System
  • Must carry a University cell phone
  • Ability to travel domestically up to 5%
  • Excellent interpersonal and communication skills
  • Ability to manage multiple tasks and meet deadlines efficiently

Job Qualifications

  • Five plus years of professional hospitality experience in hotel group or catering sales, convention services or collegiate conference and events industry
  • Thorough knowledge of concepts, principles and practices of event planning and public relations, including event design, organization and production
  • Demonstrated organizational and project management skills
  • Experience maintaining a high standard of productivity within a broad scope of responsibilities
  • Highly developed interpersonal communication skills including political acumen and social perceptiveness
  • Ability to give clear directives and use independent, rational judgment when making decisions and managing events
  • Proficient in standard business software such as Microsoft Office Suite and hospitality sales software like Delphi
  • Excellent verbal and written communication skills
  • Skill in writing grammatically correct business English, such as conference proposals, memos, and routine correspondence
  • Sufficient knowledge of University accounting forms and procedures (preferred)
  • Working knowledge of policies and procedures of Housing & Hospitality operational units such as Food & Beverage department (preferred)

Job Duties

  • Provide professional meeting and planning guidance
  • Execute events, conferences, and catering at the Luskin Conference Center
  • Collaborate with Housing & Hospitality units to support revenue generation
  • Set up and lead on-site visits with future and prospective clients
  • Develop proposals including theme delineation, decor, menu, and service requirements
  • Act as day-of manager along with Banquet Captains for catered events and group check-ins
  • Maintain organized records of accounts within physical and digital files
  • Coordinate group needs while on-site
  • Distribute pertinent client details to campus partners, accounting, vendors, and third-party service providers
  • Assist the Accounting Department with billing, collections, purchasing, vendor charge management, and account reconciliation
