Job Description

Rhode Island School of Design (RISD) is a premier art and design institution known for fostering creativity and innovation. The campus is not only dedicated to advancing artistic education but also provides comprehensive conference and event services through its Campus Conference and Events Services (CCES) office. CCES is responsible for marketing the college's event resources and coordinating various campus events that span residence hall accommodations, event spaces, and catering services. Job Requirements

  • associate's degree
  • at least three years of relevant experience in event planning, conference management or food service industry
  • proficiency in using Microsoft Suite and calendar management programs
  • valid Rhode Island driver's license
  • ability to communicate effectively orally and in writing
  • capability to manage multiple tasks simultaneously
  • availability to work evenings, occasional weekends, and travel as required
  • commit to pre-employment background screening

Job Qualifications

  • proficiency with Microsoft Suite and electronic calendar management programs
  • strong organizational and multitasking skills
  • effective oral and written communication skills
  • ability to use independent judgment
  • experience preferably in a college university setting
  • valid Rhode Island driver's license

Job Duties

  • perform routine office tasks including taking phone calls, responding to emails, creating file folders for events, creating invoices, interdepartmental billing, and processing payments
  • handle guest and campus inquiries through phone and email communication
  • provide price quotes and assist in preparing contracts
  • print residential cards, labels, and information packets for summer residential groups
  • maintain events and approvals within master calendar scheduling systems such as 25Live and shared calendars
  • submit work orders to Campus Facilities
  • work on special projects for the Director
  • establish and maintain relationships with key campus service providers
  • respond to group requests and concerns timely before, during, and after their stay
  • communicate with Airbnb guests via app and assist with check-in communications
  • coordinate campus walk-throughs with external groups
  • assist the Director of Conference and Events
  • serve as point person during on-campus events and conferences
  • respond to and resolve issues arising during events
  • check campus spaces prior to group arrival and solve any problems promptly
