Job Requirements
- Valid driver’s license and clean driving record
- Ability to drive a 14-person van
- Experience in customer service or event planning
- Ability to work flexible hours including evenings and weekends
- Strong sensory skills including good eyesight and hearing
- Ability to bend, lift, carry and move up to 25 pounds
- Ability to stand, sit, walk and use hands effectively
- Ability to work under pressure of deadlines
- Willingness to participate in IDEA training and initiatives
Job Qualifications
- Bachelor’s degree in hospitality preferred or equivalent work experience
- 3-5 years of customer service or event planning experience
- Working knowledge of Microsoft Office including Outlook, Word, Excel
- Ability to learn event software like Momentus Elite or similar
- Sewing and wardrobe experience a plus
- Ability to effectively communicate both written and verbally
- Ability to work independently and collaboratively
- Ability to multitask and monitor several projects simultaneously
- Proficiency in technology and software applications
- Ability to build and maintain positive working relationships with artists and tour staff
Job Duties
- Handle advancing for guest artists including ground transportation, hotel accommodations, hospitality and catering including dietary requirements
- Purchase and order required items and equipment
- Maintain and launder table linens, towels, etc. for the department
- Work with chef and outside caterer to develop meal menus for guest artists and crews
- Schedule, supervise and train artist concierges and runners
- Arrange artist meet and greets and VIP events with donors and patrons
- Work show days or schedule concierge coverage
- Meet and welcome tour staff
- Research and maintain relationships with local vendors
- Participate in weekly events meetings
- Code monthly expenses for approval
- Approve timesheets for payroll bi-weekly and supervise artist concierge team
- Order or purchase crew hospitality items including coffee, water and snacks
- Maintain coffee and water service for conference rooms
- Assist events team with internal events
- Drive 14-person van and rent vehicles as needed
