Job Requirements

Job Duties

  • Answers incoming calls in a warm, pleasant and professional manner
  • Ensures that all messages are relayed promptly to the intended person
  • Maintains current visitor log
  • Greets all visitors, residents, family members and associates warmly in person and over the phone
  • Ensures reception areas are clean, hospitable and inviting
  • Ensures compliance with all concierge and first impression standards from entrance to lobby
  • Creates and maintains resident face sheets using Yardi system, including updating and distributing them
  • Inputs data related to resident assessments into Yardi system as directed
  • Enters all work orders into the Direct Supply TELS system
  • Communicates issues related to community appearance and hospitality to relevant supervisors
  • Assists Director of Community Relations and Director of Sales with inquiries
  • Provides administrative support to Business Office Manager including credit card summaries, petty cash, deposits, and accounts payable entry
  • Offers refreshments to visitors to enhance their comfort
  • Maintains respect for residents’ rights to privacy
  • Coordinates appointments for residents and records related charges
  • Handles community mail duties and package distribution
  • Assists with preparing and maintaining brochure packets at reception
  • Keeps interactions with co-workers professional and minimal in the lobby area
  • Assists Executive Director and other departments with additional administrative duties
  • Adheres to company computer usage guidelines
  • Maintains professional dress and decorum
  • Works safely and promotes safety of associates and residents
  • Discloses any medication that may affect job performance
