Job Requirements

  • High school diploma or GED
  • previous experience as a front desk concierge, receptionist or office assistant
  • previous experience with multi-line telephone systems
  • basic computer experience

Job Duties

  • Answers telephone with proper greeting and pleasant manner
  • screens and properly transfers calls in a timely manner
  • properly greets and screens visitors, residents, and staff, utilizing sign-in sheet and badges
  • provides accurate information to residents and visitors
  • understands telephone technology including receiving, transferring, holding, parking, forwarding and ending calls
  • properly handles calls received from gate entrances
  • knowledgeable about all areas of SJP community, departments, residents and staff
  • utilizes "Ready References" in flip file and at Concierge desk to best handle questions from callers
  • keeps abreast of activities and special events pertaining to residents and staff
  • properly completes logbooks for alert system and for communications daily and checks email for updates daily
  • coordinates communication between residents and Transportation Department
  • communicates information to part-time and weekend receptionists to ensure good shift transition
  • opening and closing desk - familiar with procedure of forwarding and canceling forward of calls to other desks
  • assures that all deliveries to residents are properly arranged for and delivered on a timely basis
  • promptly notifies Transportation for off-campus and on-campus appointments, resident pick-up, and resident drop-offs
  • promptly handles resident or family requests for services and follows through with completion of necessary forms and logs
  • monitors resident alert system and fire panels and promptly notifies the responsible parties of concerns
  • maintains knowledge of and performs procedures related to fire alarm and fire drills
  • provides information to staff and residents on the status of emergency situations or drills
