Job Requirements

  • experience as a concierge or in a customer service role preferred
  • one to two years of working with seniors preferred
  • ability to use independent judgement and discretion
  • ability to communicate verbally, in writing, and through pictures when necessary
  • able to exude confidence and patience
  • ability to manage time efficiently
  • able to operate standard office equipment
  • able to utilize technology effectively including computers, tablets, word processing, internet, and email
  • valid driver's license with acceptable driving record if driving responsibilities required
  • able to think creatively and independently
  • able to act in solving problems while exhibiting sound judgement
  • able to relate to routine operations consistent with existing solutions
  • able to work in a team setting

Job Duties

  • serves as a point of contact for needs, requests, and complaints for all residents, families, guests, vendors, and staff
  • has a solid understanding of 'who' the customer is and provides a level of service that is positive and memorable
  • understands the customer's needs, requests and/or concerns and assists in providing them with personalized solutions
  • answers the phone within 3 rings
  • determines the nature of the call to either relay information or route the call as appropriate
  • takes detailed messages with name, date, time, return phone number and any additional pertinent information, ensuring timely delivery to the intended person
  • coordinates services for residents and families including dry cleaning, grocery and drug store delivery, dinner reservations, beauty parlor services, theater, and movie tickets, as well as transportation to and from events, appointments and errands
  • follows up to confirm satisfaction with services rendered
  • connects with all new residents and families within the first week of arrival to introduce oneself and provide information on concierge services
  • answers questions and directs appropriately to nearby community resources
  • coordinates the community's transportation schedule, manages sign-up sheets, and provides written confirmation
  • serves as liaison between culinary department and guest meal reservations, ensuring smooth experiences with written confirmations
  • makes reminder calls to residents not in the dining room and maintains RSVP lists for community and family events
  • maintains community security by following procedures and monitoring resident and guest sign-in/out logs
  • keeps reception, lobby, and welcome areas clean, organized, and safe
  • receives and sorts incoming mail and logs packages
  • may perform other duties as assigned
