Job Requirements

  • High school diploma or GED
  • One to three years of customer service experience and/or training
  • Excellent interpersonal and customer service skills
  • Excellent organizational skills and attention to detail
  • Able to concentrate with frequent interruptions
  • Able to talk and hear effectively
  • Able to work under stress and in emergency situations
  • Proficient with Microsoft Office Suite or related software
  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems

Job Duties

  • Function as the main resource center to all callers, guests, and vendors
  • Ensure accurate visitor check-in through the visitor check-in process
  • Assist all residents, guests, and employees at the temperature kiosk
  • Produce visitor reporting as needed
  • Initiate emergency codes as per safety guidelines
  • Receive and provide direction to visitors while ensuring customer satisfaction
  • Remain proactive, approachable, and solution focused
  • Keep updated on all processes, procedures, and company announcements
  • Receive mail, sort, and ensure timely delivery
  • Perform clerical duties and aid on projects as needed
  • Carry out telephone answering and reception duties as required
  • Greet residents and visitors, answer inquiries and give directions
  • Handle entering all workorders from families and staff
  • Collate brochures for the sales and marketing department and administrative tasks as needed
  • Prepare meal tickets for team members and family members, tally meal count sheets for the dining staff as needed
  • Update the resident phone list and roster daily
  • Manage appointments for residents and family members such as hairdresser, transportation, specialist, etc.
  • Maintain and keep desk and entry area neat and organized
  • Maintain adherence to all company personnel policies and established operating policies and procedures
  • Perform other related duties as assigned
