Job Requirements
- High school diploma or an equivalent combination of education, training and experience
- Ability to obtain Oklahoma Notary seal
- Minimum of 3 years of experience in a customer service or administrative position
- Previous experience working with older adults or in a healthcare setting preferred
- Ability to occasionally lift and push up to 25 pounds
- Ability to sit for extended periods with occasional walking, standing, kneeling, and bending
- Ability to use a computer, telephone, or office equipment for extended periods
- Excellent verbal and written communication skills
- Ability to function well in high-paced and stressful environments
Job Qualifications
- High school diploma or equivalent
- Minimum of 3 years of experience in customer service or administrative positions
- Previous experience working with older adults or in healthcare preferred
- Proficient with Microsoft Office Suite including Word, Excel, and Outlook
- Intermediate computer skills and ability to learn new software systems
- Strong interpersonal and communication skills
- Demonstrated problem-solving and decision-making abilities
- Ability to handle sensitive and confidential information with tact and diplomacy
- Excellent organizational and time management skills
Job Duties
- Greet and direct all residents, visitors, staff, and contractors in a courteous manner
- Assure all visitors sign in via the Accushield kiosk and provide kiosk assistance, as needed
- Respond to all in-person, email, radio, and phone inquiries accurately and timely or direct appropriately
- Screen and route all incoming communications or take clear and concise messages when required
- Support Montereau's marketing efforts by answering community inquiries, providing information packets, and compiling data for the marketing spreadsheet
- Assist Independent Living Administration in coordinating the resident admission process
- Sort and process resident and staff mail daily for expedient delivery
- Input and update resident records ensuring accuracy and compliance with state regulations
- Provide administrative support to various departments and leadership teams including updating state reports, maintaining contract binders, revising policy manuals, and processing resident clothing labels
- Enter maintenance and housekeeping work order requests in a timely and thorough manner
- Enter transportation requests for residents and maintain scheduling information
- Work closely with the Independent Living team to support residents transitioning between independent living and healthcare services
- Assist with administrative tasks in both independent living and healthcare areas
- Collaborate with other departments to promote a unified resident experience, addressing concerns and coordinating services
- Coordinate communications and displays related to resident passing
- Perform other related functions as required or assigned
