Job Requirements

  • High school diploma or equivalent
  • Experience in an office environment, answering phones or customer service preferred
  • Basic clerical skills
  • Ability to cover vacations and days off
  • Strong verbal and written communication skills
  • Basic computer skills with proficiency in office software
  • Ability to handle multiple tasks and meet deadlines
  • Ability to work effectively with diverse personnel
  • Ability to communicate respectfully and empathetically with residents, families and staff
  • Self-motivated and organized
  • Neat, professional, and courteous appearance
  • Strong customer service attitude
  • Caring and compassionate toward others
  • Ability to coordinate with supervisors for group problem solving

Job Qualifications

  • High school diploma or equivalent
  • Experience in an office environment, answering phones or customer service position preferred
  • Basic clerical skills
  • Strong verbal and written communication skills
  • Basic computer knowledge and proficiency with standard office software
  • Ability to work effectively with different levels of personnel
  • Self-motivated, organized and professional
  • Excellent customer service skills with caring and compassionate behavior
  • Ability to communicate and function within an interdisciplinary team
  • Ability to handle emergency situations calmly and professionally
  • Knowledge of confidentiality and privacy regulations such as HIPAA

Job Duties

  • Greet and direct all visitors in a friendly and helpful manner
  • Answer all incoming calls within three rings and transfer calls or take messages as necessary
  • Respond to residents’ and family members’ questions and concerns and share important information with the Executive Director or other supervisor as is appropriate
  • Respond and appropriately handle emergencies that may arise in a calm, professional and effective manner
  • Respond to minor resident issues such as television issues, smoke detector battery change, light housekeeping issues
  • Monitor the front lobby and entrance area for cleanliness
  • Monitor first floor bathrooms for cleanliness
  • Manage Waiver billing and process as needed
  • Organize incoming mail and ensure that it is distributed to the appropriate person
  • Assist in telephone inquiries in the absence of an immediately available Marketing person
  • Maintain a community resource information library and/or directory to route residents and families to available services
  • Schedule shifts and provide coverage when department is short staffed
  • Keep Executive Director informed of all important matters
